Daily Service Administrator

Daily Service Administrator Functions:

1. Responsible for timecard processing of managers and direct support professionals, including verifying hours worked
2. Responsible to approve mileage and expense for managers
3. Responsible for review of critical incident reports
4. Responsible for monitoring quality client services by reviewing samplings of Client Life Plans, Behavior Support Plans, and progress notes.
5. Responsible for holding weekly team meetings with managers and attending regular Operations meetings individually with the COO as well as with the entire operations team.
6. Responsible for monitoring completion and content of 90 day and annual performance reviews to ensure timely and appropriate reviews.
7. Responsible for the training and development of new and existing Daily Service Managers, specifically utilizing Frontline Supervisor Training.
8. Mentoring new and existing Daily Service Managers, including the assignment of mentors and the completion of the New Manager Training Handbook
9. Responsible to assist Daily Service Managers in the hiring of team leaders
10. Responsible to hire for the Daily Service Manager team
11. Responsible to gain and maintain professional and supportive relationships with managers focused on the development of Daily Service Managers
12. Responsible to complete weekly supervision with Managers reviewing:
    • What has gone well
    • The systems of permanent schedules, billing, DSP notes, and relationships with DSPs/TLs
    • The Numbers: Budget/Financials/Billing, outcomes, and relevant employee reports (i.e. Overtime, Status Monitoring etc.)
    • Challenges for the manager include how they need support from the Administrator
    • Manager learning
    • Manager self-care

Manager Functions:

Operational Functions:

1. Establishes and maintains an environment of effective teamwork that accomplishes the desired outcomes.
2. Ensures all services to clients meet the highest quality possible through effective leadership.
3. Train and develop Team Leaders in monthly training classes; Facilitate Team Lead Development Committee
4. Ensures staffing is sufficient in number, properly trained, and utilized in the most effective manner and that all shifts are covered.
5. Ensures staff provide client services that are person-centered and according to the client’s preferences.
6. Ensures effective relationships between all stakeholders of the organization.
7. Ensures clients are educated and empowered to make choices about services.
8. Ensures employees receive 90 day and annual reviews timely.

Administrative Functions:

1. Assures the service operates according to established policies and procedures and in compliance with all applicable federal, state, local and contractual regulations.
2. Responsible for the accuracy and timeliness of all documents and reports and that staff are held accountable for.
3. Responsible for developing and communicating budgets based on client service agreements and that budgeted hours are provided.
4. Public relations activities to include, but are not limited to; speaking to potential clients and their teams about services, speaking to civic groups, schools and representing the organization in the community.
5. Responsible for attending pertinent meetings as agreed with the COO, which may include provider meetings, conferences, business meetings, etc.
6. Responsible for maintaining indirect payroll costs to a level that ensures administrative burden, training and development are conducted, while ensuring that billable hours are maximized.
7. Participates in Strategic Planning and Quality Enhancement efforts and Implements quality enhancement plan to maintain the continuous quality improvement of services.
8. Acts as a member of the Executive Leadership and Administration Team to establish direction and implement vision for the organization.
9. Participate in and attend assigned Committee Meetings

Education/Training/Licenser/Certification Requirements

• BA in Human Services or a related field plus three years of supervisory experience and three years of experience in the field
• Working knowledge of person-centered planning and person-centered supports
• Working knowledge of IAC preferred
• Valid Iowa Driver’s License
• Proof of Automobile Insurance
• Valid address and telephone

Skill or Proficiency Requirements:

• High level of literacy in spoken and written English
• Strong interpersonal communication skills to serve as a resource for families, other providers, managers, and staff
• The ability to lead others to solve problems and negotiate conflict
• Must be able to act as a role model
• High level of organizational skills
• Demonstrated leadership ability
• Proficient in Microsoft software and applications
• Ability to travel in counties served by Candeo
• Must be able to pass criminal history, motor vehicle, child abuse, dependent adult abuse, and sex offender registry background checks
• Possess a motor vehicle that meets the required operational and maintenance guidelines, that are in accordance with the Iowa Department of Transportation motor vehicle safety standards and Candeo’s Motor Vehicle Guidelines.

Emotional Behavior Requirements

Routinely acts with individuals (clients, family members, staff, etc.) who may be discourteous, tactless, demanding, angry or hostile, emotionally vulnerable, vulgar, or mean-natured. Routinely called upon to control own emotions and behavior to protect the rights of clients and to engage in effective employee and professional relations (i.e., HCBS, PCHS, Case Managers, etc.).
