Deal Processor

SUMMARY

The Deal Processor is responsible for the efficient processing of new and used car deals.

CORE RESPONSIBILITIES

Ensure timely bank funding, and timely processing of vehicle registrations with the State of Pennsylvania. Additionally, perform quality control checks of each deal upon intake from the F&I and communicate to the Controller and Regional Operations Director on outstanding deal / title issues and timely scanning of booked deals into the File Bound Document Management system.

Deal Processor may be required to:

• Receive and conduct quality control checks of all contents of new and used car deal jackets 
• Work with the appropriate F&I Manager to correct errors, omissions, or incomplete forms
• Evaluate compliance of all deal documentation with industry regulations and local, state and federal laws
• Follow-up and correct issues of potential non-compliance
• Expedite the processing of deal documentation from the F&I Managers, to the Accounting Department, to the Title Department, and ultimately through submission of the title registration with the Pennsylvania DMV. The goals of this position are:
• 100% timely funding of each deal with finance institutions
• 100% timely registration of each title with the State of Pennsylvania’s Department of Motor Vehicles
• Zero refunds of on-line registration fees. 
• Scan booked deals into the File Bound Document Management system as they are completed
• Overnight original signed bank contracts to the appropriate finance institution to ensure timely funding of deals
• Submit hard copy deal documentation to the Title Department once the deal passes a quality control check
• Generate exception reports of deal issues and/or frozen capital for the Controller, GSM, Sales Managers, F&I Managers and CPRD on a daily basis
• Attend Sales and F&I meetings as necessary to review outstanding issues
• Meet with the Regional Operations Director and Controller weekly to discuss problem issues, problem areas, or problem individuals. 
• Perform trouble-shooting activities where necessary related to lien holder issues, plate fees, incorrect titles, incorrect addresses, mileage documentation, incomplete forms, title transfers (including intercompany transfers), dealer plates, temporary plates, registration cards, and all other potential issues that hinder the timely processing of deal-funding or vehicle registration. This includes proactive communication with Sales Consultants, Sales Managers, F&I Managers, Bank Reps, and customers
• Attend available training programs through the PAA and otherwise, to continually stay abreast of applicable laws, regulations, and industry trends and developments as they relate to this position

REQUIREMENTS:

Position requires the following:

• One to two years of F&I Assistant or Title Clerk experience in an automotive dealership
• Proficient with Microsoft Office suite (particularly Word, Excel, Outlook)
• Excellent written and verbal communication skills
• Strong administrative and organizational skills
• High energy level
• Professional demeanor
• Thorough understanding of applicable federal, state and local regulations governing vehicle titling, finance, F&I product sales, and customer privacy.
