Role Mission:

 

The Dean of Operations plays a critical role in enabling a high-functioning campus by supporting specific workstreams related to operations. This includes front office coordination, enrollment, family engagement, attendance intervention, and auxiliary services related to transportation, facilities, and our child nutrition program. By ensuring operational excellence, this role frees instructional leadership and staff to focus on student learning and programmatic delivery, ultimately supporting IDEA’s mission that “all students are capable of getting to and through college.” This role will report to the Assistant Principal of Operations.

Compensation: 

 

  • The salary for people in this role is set at $60,000 annually upon confirmation of relevant experience and qualifications and in alignment with internal equity. This role is also eligible for performance pay based on organizational performance and goal attainment. This is a full-time, salaried, and in-person position based in Cincinnati, Ohio.

Key Responsibilities

Operations & Systems Management

  • Support the campus front office and receptionists, oversee daily operations, ensure welcoming and effective visitor experience, manage communications and phone routing to include transportation workstreams.
  • Support health clinic duties and comply with policies established by federal and state laws, state department of health rules, State Board of Education rules, and board policy in health services area. This includes maintaining certification in CPR/First Aid as well as additional certifications as assigned and required (medicine administration).
  • Provide direct care utilizing professional triage skills, basic care, and established school health protocols. This includes communicating regularly with the Principal, Assistant Principal of Operations, the Operations team, the Regional Director of Student Support Services, teachers, parents, and other staff regarding health services issues.
  • Support the accuracy of student records, demographic data, and enrollment status.
  • Assist with new-student onboarding, transfers, testing registration, and documentation to support 100 % first-day enrollment and smooth entry.
  • Facilitate daily attendance calls and inspect cumulative attendance (ADA) data; identify trends and assist in implementing Chronic Absenteeism escalation protocols, tracking, and interventions to help achieve high attendance targets.
  • Work with campus leadership to support student persistence efforts (especially for new families) e.g., onboarding support, parent communications, tracking check-ins, and coordinating surveys/feedback.
  • Co-manage and maintain accurate visibility and record of bus routes and route assignments, daily rosters/student ridership, bus capacity, incident reports, discipline reports, on-time arrival and dismissal rates, and general vendor performance trends.
  • Contribute to the design of enrollment plans and execute monthly and annual enrollment strategies and tactics boots on ground to include recruitment, registration, re-registration, marketing, and business partnerships.

Auxiliary Services Coordination

  • Assist in overseeing auxiliary services such as child nutrition, transportation, and facilities support.
  • Support responsibilities across auxiliary services in the absence of operations staff.
  • Ensure customer service excellence and operational efficiency (front office readiness, facilities readiness, and meal preparation with CNP).
  • Serve as a point of contact between the school and the contracted service provider. Point of contact duties include adherence to delegated tasks assigned by APO and district leaders to include RASM, RDO, VPO, ED as applicable.
  • Support vendor logistics and scheduling of services (transport routes, lunches, clinic coverage), and basic facility upkeep requests.
  • Support summer and beginning-of-year operational readiness: assist with operations staff onboarding, training schedules, campus setup, ensuring positions filled, and operations teams ready for the school year start.
  • Escalate service concerns through the appropriate communication channels that bring awareness to Cafeteria Management, Facilities Management, APO, RASM, RDO, VPO and collaborate with vendor’s leadership to implement corrective actions, if and when appropriate.

Family Engagement and Operations Staff Experience

  • Serve as a key operational liaison for the campus operations team: facilitating CREW activities for staff, coordinate scheduling of operational staff check-ins, track training and development, assist in team meetings and talent processes (onboarding, support, feedback).
  • Maintain strong communication and alignment across non-instructional teams and between operations and instructional leadership; act as a problem‐solver and point of contact for day-to-day operational matters.
  • Demonstrate professionalism and provide excellent customer service to families, staff, and students across all other duties as assigned from APO, Principal, or district leadership.

Compliance, Data & Reporting

  • Ensure compliance with federal, state, and district/charter requirements related to enrollment, attendance, student records, nutrition programs, transportation, and facilities.
  • Generate, monitor, and present operational data dashboards (e.g., enrollment funnel, attendance trends, staffing vacancies, operational cost metrics) to campus leadership.
  • Support audit readiness for health, safety, transportation, and facility documentation.

  • Leadership: Have the ability to delegate and manage a wide variety of skillsets. It is important for supervisors to lead their teams in the most effective way by recognizing where the strengths are, where improvement is needed, and how to properly use the skillsets of each team member
  • Time management: Be able to balance a heavy workload and time constraints while managing and delegating other employees and projects is an essential skill
  • Travel expectations: 35-40% during specific seasons/quarters of the school year
  • Reporting structure - Reports directly to the Assistant Principal of Operations
  • Hours/Workdays - typically, 10:00am – 6:00pm, 30 minute lunch, Monday – Friday, and some night-time and weekend work is necessary to lead and support family engagement and enrollment events.

 

Qualifications & Skills

Required:

  • High School Diploma or at least 30 credits at the college/university level
  • Ability to work early mornings and late evenings based on campus needs throughout the school year
  • At least 2 years of experience in an operations, administrative, or school-based support role
  • Strong organizational skills, ability to manage multiple initiatives simultaneously with urgency and attention to detail
  • Excellent written and verbal communication skills; ability to engage effectively with families, staff, and external vendors
  • Data-savvy: comfortable working with data dashboards, spreadsheets, tracking metrics, analyzing trends and presenting findings
  • Comfortable working in a fast-paced, growth-oriented educational environment; able to adapt to change and proactively solve problems
  • Commitment to the mission of IDEA Public Schools and belief that all students can go to college

Preferred:

  • Experience in K-12 education or charter school environment
  • Familiarity with student information systems (SIS), enrollment/marketing, operations management (facilities, transportation, child nutrition programming)
  • Bilingual in English and Spanish (strongly preferred)
  • Experience supporting staff through training, onboarding, or operational supervision

Physical Requirements

  • Ability to sit and stand for prolonged amounts of time
  • Ability to lift up to 20 pounds at times
  • Ability to complete periodic travel required for meetings, in-field observations, trainings and conferences
