POSITION PURPOSE:
Under the supervision of the Dental Front Office Supervisor, the Dental Treatment Plan Coordinator is responsible for ensuring all patient documentation and records are accurate, complete, and up to date. This role provides clear communication to patients regarding treatment plans and associated financial responsibilities, while supporting front office operations including scheduling, insurance verification, and phone coverage. The position also serves as backup to the dental front office reception as needed.
The Treatment Plan Coordinator plays a key role in promoting a positive patient experience by supporting efficient clinic flow and collaborating with clinical and administrative staff to address scheduling needs and resolve operational challenges.
ESSENTIAL FUNCTIONS:
Verifies completion of services to ensure appropriate scheduling of subsequent phases of care.
Identifies outstanding and completed treatment phases to support continuity of care and collaborates
with clinical staff to develop and update treatment plans.
Maintains proficiency in all registration processes to ensure accurate, efficient patient registration and optimize collections.
Performs telephone and in-person triage for patients as appropriate.
Provides courteous, responsive patient support via telephone and in person.
Schedules patient appointments in alignment with clinical priorities and patient needs.
Accurately records patient information and processes payments within the practice management system.
Partners with the Billing Department to support accurate patient account management and collections.
Provides support to team members as needed to maintain efficient clinic operations.
Attends required meetings and trainings.
Adheres to all Aviva Health and departmental policies and procedures.
Performs other duties as assigned by leadership.
PROFESSIONAL QUALITIES:
Strictly adheres to the ethics and Code of Conduct as established by the American Dental Association, Oregon State Board of Dental Examiners, and Aviva Health.
Displays a high level of initiative, effort, and commitment to completing assignments efficiently and timely. Works with minimal supervision and exercises sound judgment and attention to detail.
Promotes positive customer relations and service to both internal and external customers in a non-discriminatory, confidential, professional, and friendly manner that builds dignity for each individual person.
QUALIFICATIONS:
High school graduate or equivalent education.
One-year dental assisting experience or two years dental front-office experience preferred.
Must possess knowledge of Practice Management and Electronic Dental Records.
Able to understand dental procedure coding and familiarity with dental terminology.
Knowledge of collection procedures and laws is preferred.
Must be able to type 40WPM.
WORKING CONDITIONS:
Must be able to perform the following physical requirements:
Position is in-person during standard office hours but may occasionally work extended or weekend hours.
Remain in a stationary position frequently during the day to perform administrative duties.
Operate computer and phone frequently during the day.
Ability to communicate information and ideas clearly and accurately so others will understand; ability to interact with patients and staff clearly.
Work indoors in heat-controlled environment 100% of the day.
OSHA Exposure Category – Category #2: The normal work routine involves no exposure to blood, body fluids, or tissues.
