SUMMARY

A Deposit Operations Project Specialist in banking plays a critical role in managing and supporting projects related to deposit products and operational processes. Their responsibilities generally span both project management and operational expertise in deposit-related functions.

PRIMARY RESPONSIBILITIES

Project Management

  • Coordinates and assists with Deposit Operations projects, such as system upgrades, regulatory compliance changes, and new product rollouts.
  • Develops project timelines providing updates to the Managing Director Operations ensuring deadlines are met.
  • Collaborates with IT, Compliance, and Treasury Management Teams to gather requirements and implement solutions.
  • Documents project scope, goals, risks, and deliverables.
  • Tracks project performance and reports progress to Managing Director Deposit Operations.

Reporting and Analysis

  • Builds/pulls Deposit Operations reports.
  • Drafts Deposit Operations Board Reports.
  • Handles overdrawn Account Reporting and Overdrafts for 60 days working closely with the Executive Director Operations.
  • Generates reports on deposit account trends, operational efficiency, and project outcomes.
  • Analyzes data to inform decision-making and highlight areas for improvement.

Deposit Operations and Wire and Fraud Prevention Support

  • Handles Virtual Vault Balancing relating to Cannabis.
  • Assists with lunch and learns relating to new processes, systems, or compliance updates.
  • Provides support and troubleshooting during and after project implementation.
  • Assists the Managing Director of Deposit Operations with projects and tasks as assigned including but not limited to:
  • Reviews Online Banking (OLB) emails as needed.
  • E-Statements.
  • Bill Pay support.
  • New Form Submissions.
  • Assists with all ATM matters including but not limited to maintenance and disputes.
  • Reviews and process mobile deposits.

Provides backup support to the Deposit Operations Specialists as assigned by management:

  • Monitors and addresses all non-post, stop pays, positive pay, and NSF items daily.
  • Processes foreign items (collection items).
  • Processes daily reports and settlements as delegated by the Deposit Operations Lead.
  • Handles the exceptions of positive pay items from X9 files and ACH Alerts.
  • Handles the transfer of electronic funds through ACH and Wire transfers.
  • Processes International Items.
  • Processes chargebacks, ACH items, wires, returns and corrections.
  • Verifies that all wires comply with Bank policies and procedures.
  • Reports discrepancies immediately to the Deposit Operations Lead and assists in clearing discrepancies.
  • Processes daily account maintenance verification in accordance with Bank’s policies and procedures.
  • Handles the approval of non-over the counter deposits (i.e. ATM Deposits).

Process Improvement

  • Identifies inefficiencies in Deposit Operations and recommends process enhancements to the Managing Director Deposit Operations.
  • Works with automation tools and technology platforms to streamline workflows.
  • Creates, implements, and maintains departmental document control program.
  • Creates, implements, and maintains new account quality assurance program.
  • Manages various automation projects designed to improve efficiency.
  • Assists with implementation of improved procedures and controls.

System and Data Management

  • Assists with configuration and testing of deposit systems (core banking systems, digital banking platforms, etc.)
  • Coordinates system changes or migrations and ensures proper testing and validation.
  • Maintains accurate documentation of systems and processes.

Compliance and Risk Management

  • Support compliance with regulations such as Reg D, Reg CC, BSA/AML, and others.
  • Assists with ensuring that operational procedures align with internal policies and audit standards.
  • Assists with internal audits and regulatory examinations as needed.
  • Maintains the confidentiality of the Bank’s customers.
  • Follows and adheres to all Bank policies and procedures including those contained in the Employee Handbook.
  • Recognizes red flags, scams, fraud, phishing, etc.
  • Stays current on applicable banking regulations and security procedures and practices to prevent fraud or other bank losses and to comply with regulatory requirements.

Other

  • Performs responsibilities during Bank hours by being physically present in the Bank an average of 40 hours each week based on business needs.
  • Travels between branches as needed.
  • Performs other responsibilities as assigned by management.

Requirements

QUALIFICATIONS:

  • Education: High School Diploma or GED.
  • Experience: 3-5 years of bank experience inclusive of at least 2 years of Deposit Operations experience.
  • Valid driver's license, proof of insurance, qualifying motor vehicle record report, and reliable transportation.
  • Knowledge and understanding of the banking industry, practices, and principles.
  • Accuracy, efficiency, and thoroughness.
  • Excellent customer service skills.
  • Accurate calculation of figures, numbers, and amounts typical of those in the banking industry.
  • Strong computer skills and working knowledge of Microsoft Office.
  • High level of professionalism and integrity.
  • Flexible, adaptable, and willing to continuously learn.
  • Strong analytical and problem-solving abilities.
  • Excellent written and verbal communications skills.
  • Ability to work both independently and as part of a team.
  • Exceptional organizational skills, with the ability to prioritize and execute multiple tasks and projects simultaneously.
  • Strong work ethic and attention to detail.
