Job Description - Destination Services Coordinator

Description

Meet Boston is seeking a dynamic Destination Services Meetings & Events Coordinator to assist and support a full complement of the Destination Services team as they assist groups who are confirmed for Boston with the services, they need to support their meeting.  The individual in this role will report to the to the Vice President, Destination Services | Meetings & Events, as well as collaborating closely with the managers, specialist, and the sales team within the department. 

As a team, they will be a critical player in the service provisions for groups and organizations who are holding meetings and events in the Boston region. The goal is to make sure that there is the potential of repeat bookings.  Core Skills: People skills, excellent oral and written communication, detail oriented, organization skills, project management, problem solving and customer first attitude.  

Responsibilities Include: 

  • Enter turnovers from the Boston Convention Marketing Center into Simpleview for groups using a convention center. Maintain spreadsheets tracking which turnovers have been received. 
  • Maintain accurate accounts in Simpleview including updating overall account information, contacts, tracking commitment values/timelines, in-kind/expenses. 
  • Work with Massport on digital welcome messaging in Logan Airport for designated groups. • Collect and enter final pickup reports once groups have actualized. 
  • Assist with putting together site itineraries for planning meetings. 
  • Prepare Group Resumes for groups coming into the Hynes and BCEC. 
  • Assist Managers and Specialists with following up/close out on outstanding service requests. • Help prepare materials and shipments for pre-promotional trips. 
  • Maintain an accurate spreadsheet of who is working with each group from our partner hotels. 
  • Assist with coordinating Citywide Appreciation Receptions – maintaining a fair rotation between hotels, send out invitations, track responses and complete check request for donation recipients.  
  • Maintain an accurate information on hotel event/convention services manager for each group at the Hynes/BCEC  
  • Attend weekly and monthly Meet Boston partnership activities. 
  • Work closely with the Meet Boston Sales Team, the Boston Convention Marketing Center (BCMC) Sales Team and Event Services Managers with the Massachusetts Convention Center Authority (MCCA) to ensure a cohesive message from the Boston hospitality community. 

Requirements

  • College degree preferred but not required. 
  • Experience in hospitality/tourism services, specifically, dealing with the public is a plus.  
  • Prior customer service, sales experience and meetings/events planning and execution is a plus. 
  • Good working knowledge of Boston and a passion for hospitality are an asset. 
  • Excellent communication, presentation, and people skills 
  • Strong organizational, collaboration, and time management skills  
  • Any additional training and certification in sales, meetings/events planning will be considered an  advantage. 
  • Proficiency with Microsoft Office Suite including Word, Excel, and PowerPoint. Working knowledge  of Adobe Create Suite products preferred. 
  • Self-sufficient with the ability to work independently and balance work-life and job responsibilities. 
  • Excellent aptitude for professionalism, organization, responsiveness, and follow-up 
  • Highly organized Job Type:  
  • Full-time, Monday to Friday; some weekend and evening work required.
