About Rethos



Rethos is a 501(c)(3) charitable organization that inspires people to connect with their shared places and spaces through preservation, adaptation, and activation. Through our programs and services, Rethos advances a broad and inclusive understanding of preservation — one that centers underrepresented stories and supports equitable community development and vibrancy.



We work from our offices Monday through Thursday, with Friday an either at home or in office workday. Our work is highly collaborative. We are looking for someone who enjoys working in-person with colleagues, supporting shared systems, and helping a mission-driven organization run smoothly.

About the Role



The Development & Operations Coordinator provides essential support for Rethos’ fundraising systems, administrative operations, and select HR coordination processes. This position works closely with the Executive Director and other staff to help maintain organized donor records, process contributions, prepare donor communications, support office systems, and coordinate routine administrative tasks.



The ideal candidate is organized, detail-oriented, comfortable learning new systems, and able to communicate warmly and professionally with donors, staff, board members, vendors, and community partners.



What You’ll Do



Development and Donor Support
• Process donations, prepare acknowledgments, and maintain accurate donor, sponsor, and membership records in our CRM database.
• Support donor communications, including thank-you letters, newsletters, campaign updates, membership communications, and annual report materials.
• Help coordinate donor stewardship activities, small cultivation events, mailings, invitations, and follow-up notes.
• Prepare basic donor lists, giving reports, meeting materials, and donor background information.
• Support membership renewals and help ensure delivery of member benefits.



Administrative and Operations Support
• Provide general administrative support, including scheduling meetings, handling correspondence, maintaining the Executive Director’s calendar, opening and distributing mail, and managing office supplies.
• Serve as a point of contact for general inquiries and direct questions to the appropriate staff member.
• Track and reconcile expense receipts for development and office-related purchases.
• Support database and spreadsheet maintenance, including CRM updates, basic reports, and tracking documents.
• Assist with special projects as assigned.



HR and Technology Coordination
• Coordinate basic HR support tasks, such as preparing new hire packets, scheduling orientation sessions and interviews, posting job ads, maintaining personnel files, and tracking required trainings.
• Coordinate basic technology questions and refer questions to Rethos’ IT contractor when outside support is needed.



What You’ll Bring



Skills and Experience We’re Looking For
• Strong administrative and organizational skills, including attention to detail and follow-through.
• Ability to manage multiple priorities, meet deadlines, and ask clarifying questions when needed.
• Comfort learning and using databases, spreadsheets, websites, and other digital tools, including cleaning CRM data.
• Strong written and verbal communication skills.
• Familiarity with Microsoft Office or similar office software.
• Ability to maintain confidentiality and handle sensitive donor, employee, and organizational information with care.
• Strong interpersonal skills and ability to communicate respectfully with donors, staff, vendors, board members, and community partners.
• Comfort working with people from diverse backgrounds and a commitment to inclusive, welcoming communication.
• High school diploma or equivalent, or comparable lived, work, volunteer, or community-based experience.
• 1–2 years of experience paid or volunteer in office administration, fundraising support, customer service, program support, nonprofit operations, or a related coordination role.



Helpful but Not Required
• Experience with nonprofit fundraising support, donor stewardship, membership programs, or gift processing.
• Experience using a CRM or donor database; NeonCRM experience is helpful but not required.
• Experience cleaning data, running reports, or maintaining organized records in a database or spreadsheet.
• Intermediate or advanced Excel skills.
• Familiarity with nonprofit development practices, donor communications, campaigns, or annual appeals.
• Experience supporting HR processes such as onboarding, scheduling interviews, maintaining personnel files, or tracking required trainings.
• Experience coordinating small events, mailings, invitations, or donor/stakeholder follow-up.
• Basic comfort troubleshooting technology issues or coordinating with an outside IT provider.
• Cultural competency and/or fluency in a language other than English, including Spanish, Hmong, or Cushite languages.



Salary and Benefits
The salary for this position is $52,000 annually.



The estimated total compensation package is approximately $68,000 annually, including low-cost medical insurance, IRA with match, generous vacation time, cellular allowance, and parking or transportation allowance.



Start Date and How to Apply


Our preferred start date is July 6, which would allow time for orientation and knowledge transfer with the current person in this role. However, we are open to discussing an alternative start date with the selected candidate to ensure the timing works well for both the candidate and Rethos.
