Job Description - Development Coordinator

Description

The National WWII Museum is currently seeking a Development Coordinator. Reporting to the AVP of Institutional Advancement, the Development Coordinator is responsible for receipting and acknowledging donor commitments within 48 hours of receipt. The Development Coordinator supports frontline fundraisers in advancing relationships with Museum donors and prospects by providing timely, personalized, and intentional communications. The Development Coordinator works collaboratively within Institutional Advancement to manage competing deadlines of multiple mail projects, supporting recognition and stewardship efforts as needed, manages VIP Tour follow-up, is cross trained to arrange itineraries for Museum VIP Tours, and manages special projects as needed. The Development Coordinator is a full-time, hourly employee.

Requirements

  • Retain a deep understanding of the Museum’s fundraising goals, donor base, and status of donors in the donor cultivation cycle.
  • Write donor acknowledgement letters, consulting both the donor records and gift officers to deliver timely, accurate, and personalized acknowledgement letters to receipt and thank donors. Coordinates review and feedback from the appropriate gift officer.
  • Collaborate with the IA Communications Manager and the Senior Executive Communications Specialist to proactively maintain compelling, updated language in all versions of acknowledgement letters. Initiate quarterly copy review at minimum.
  • Support the Communications Manager and Donor Relations Manager Donor Relations Manager by coordinating the production of high-quality donor materials including proposals, stewardship reports, and stewardship touches as needed; collaborates on proofreading and printing as requested.
  • Manage the acknowledgement process of Honor/Memorial Gifts.
  • Stay abreast of VIP Tours scheduled and completed to initiate follow-up with the appropriate gift officer, defaulting to Patriot Circle invitations.
  • Cross-train to serve as secondary contact for coordinating and scheduling onsite Museum VIP Tours for the IA Department, Patriots Circle, and President’s Office.
  • Review, proof, edit, and format a variety of materials including but not limited to complex and confidential correspondence, letters, fundraising proposals, letters of intent, and stewardship proposals, as requested.
  • Become proficient in Raiser’s Edge CRM to research, update, input, and report on donor activity, especially as it the acknowledgement process.
  • Complete other complex clerical and administrative tasks requiring initiative, independent judgment, and confidentiality as required.

Qualifications

  • Bachelor’s degree and/or minimum of two years’ administrative experience.
  • Microsoft Office proficiency required. Raiser’s Edge or relational database experience preferred.
  • Prior experience in a non-profit organization highly preferred.
  • Strong oral and written communication skills required.
  • Willingness to work irregular hours during special events, evenings, weekends, holidays, special events or during periods of heavy visitation or when required by project deadlines.
