Acts as Coordinator for all Development operations to include scheduling and time management, staff coordination, data management, documentation, and correspondence. As a key member of the Development Division, this position assists in planning and executing fundraising events, conducting grant research and writing, and provides administrative support to the development team. The coordinator collaborates with various departments, engages in donor stewardship, and ensures compliance with fundraising regulations. This position requires excellent communication skills, attention to detail, and contributes to team effort by accomplishing related results as needed.
Essential Duties:
1. Exhibits regular and punctual attendance.
2. Effectively prioritizes and coordinates multiple job tasks for maximum productivity.
3. Responsible for the organization and maintenance of department files both electronically and in hard copy.
4. Develops and maintains working knowledge with The Raiser’s Edge and NXT—donor database management software.
5. Responsible for receipt and organization of Heritage Response Cards, including reply packaging to donor and assignment and tracking of follow up actions:
10. Communicates professionally and effectively with donors and represents the organization in a professional manner.
11. Supports development activities by providing demographic, geographic, and giving pattern research services on existing donors and newly acquired donors to the Development staff.
12. Assists with research for corporate and foundation prospects. Including maintaining mail-merge documents for proposal submission.
13. Responsible for preparing proposal submissions, to include editing the cover letter, including core proposal, indices, and appropriate attachments.
14. Assists with special projects and other duties as assigned.
15. Organizes in-kind donations.
16. Provides support to other departments as assigned.
Job Specifications:
1. Associate degree in a business-related field or completion of college courses in a business-related field is required. 3 years of administrative or development experience and high school diploma or GED can be substituted for Associates degree.
2. A minimum of 2 years secretarial, general office or mail operations experience is required.
3. Proficient competency in Microsoft Office for Windows applications (word processing, database, spreadsheet, e-mail, etc.) is required.
4. A minimum of 45 wpm typing speed is required.
5. Must be proficient with 10-key by touch.
6. Must be proficient in general office equipment operations.
7. Must possess exceptional time management and detail-orientation skills.
8. Must be at least 21 years of age.
9. Must possess a valid Texas Driver’s license.
10. Must be able to travel as needed.
