Job Title – Development Coordinator

FLSA Classification – non-exempt

Salary Grade – $23.50/hour, 40 hours/week 

Benefits - Paid time off and sick leave prorated by FTE. 403b with a 4% match after 90 days of employment, medical, dental, and vision coverage, 11.5 Holidays. Discounts on Preschool, After School, and Summer Camp. EAP program, fitness center on site.

Report to – Development Manager

Work environment – Friendly House campus. The location is a non-ADA compliant building at 2617 NW Savier Street, Portland, Oregon. The position is on-site and in the community.

Supervision – This position does not supervise other employees.

Schedule – Working hours are daily M-F, with weekend and evening hours as necessary and with advanced notice.

Job Description

The Development Coordinator is responsible for providing crucial support for Friendly House fundraising. Under the direction of the Development Manager, the Development Coordinator will primarily focus on the areas of grants, data entry, donor stewardship, event support, and administrative support. 

Essential Functions

  • Grants
  • Maintain agency Grants plan via Monday.com (schedule, remind, track, and update.)
  • Collection of grant-related information, including program data, bios, and participant quotes. 
  • Write and submit reports.
  • Grant writing.
  • Management of the grants email account.
  • Grant writing staff support - reminders, proof reading, etc.
  • Maintain digital grant files with updated information, copies of proposals, award letters, and pertinent communications.
  • Donor Data & Stewardship
  • Entry of donations (monetary and in-kind) into Donor Perfect database.
  • Receipting – ongoing email & mail, and year-end receipts.
  • Database updates and clean up for Donor Perfect and Greater Giving.
  • Monthly reconciliation with the Finance Assistant. 
  • Handwritten thank you notes assigned by Development Manager.
  • Event Support
  • Support event donation procurement.
  • Support with event related errands.
  • Support with set up, tear down, and event execution. 
  • Other event support as assigned by the Events Manager.
  • Administrative Support
  • Management of the donate email account.
  • Daily mail opening.
  • Appeal tracking.
  • Credit card reconciliation.
  • Meeting and tour scheduling with new and existing supporters. 
  • Office supply management and ordering.
  • Manage master Development department calendar and oversee the tracking of department goals.
  • Minute taking for Development meetings and tracking and support for team action items.
  • Prepare reports and presentations for meetings.
  • Communicate with donors and stakeholders to answer questions and provide information about the organization.
  • Coverage of the Development Assistant’s tasks during short-term absences.
  • Support for Development projects as assigned. I.e., mailings, deliveries, errands etc.
  • Support for the Director and Manager as needed.

Other Responsibilities -

  • Support Friendly House community building mission.
  • Attend all mandatory meetings and training.
  • Other duties as assigned.

Required Education and Experience

  • Strong writing skills and excellent handwriting.
  • Two years of college level course work.
  • Prior office and/or event experience preferred. 
  • Ability to use Microsoft Office suite. 
  • Excellent customer service skills.
  • Open-minded, inclusive, and willing to work with, around, and on behalf of diverse populations including, but not limited to houseless people, communities of color, and LGBTQ+ community.

Additional Eligibility Requirements

  • Must be authorized to work in the United States. Employer Sponsorship and support are not provided for this role. Applicants must be currently authorized to work in the United States at time of hire.
  • Must successfully complete a State of Oregon criminal history (ORCHARDS) background check.
  • Candidate must possess a valid driver’s license and have ongoing, regular access to a private vehicle, and ability to run local errands with mileage reimbursement.
  • Must have an acceptable MVR, meeting company insurance standards. 

Physical demands

Employees must be able to remain in a stationary position for extended periods of time up to 30-50%, with the ability to move, and traverse in the office and work environment. Use hands/fingers to handle/feel. Operate the computer and other office equipment. Occasionally, they ascend stairs or walk in uneven terrain. May need to stoop, kneel, crouch, bend. Communicate information and ideas so others will understand and exchange accurate information in these situations. The ability to see or observe detail at close range. May lift or move items up to 40lbs. May be exposed to smells, cold/heat, and outdoor environments.

Requirements

Must pass a State of Oregon Background Check. (ORCHARDS)

Must be authorized to work in the United States. The employer sponsorship is not available

Valid Oregon/Washington driver's license is required.

Access to a private vehicle and proof of vehicle insurance is required.
