Reports To: Director of Volunteer/Pro Bono Engagement
Position Summary:
The Development Coordinator supports NMILC’s fundraising and donor engagement efforts through CRM management, donation funds reconciliation,donor stewardship, campaign coordination, and administrative support. Working closely with the Development team and Executive team, this role helps ensure that donor records are accurate, acknowledgements are timely, stewardship strategies are implemented effectively, and fundraising operations run smoothly throughout the year.
Primary Responsibilities:
Donor Data Management & Reporting
Maintain accurate and timely donor and gift records in the CRM database, including data entry, updates, corrections, and supporting Development team, Executive team, and Board of Directors in documentation of donor interactions.
Ensure integrity, confidentiality, and organization of all donor and gift information in accordance with internal policies and procedures.
Coordinate regular database maintenance and reconciliation with the Finance Department.
Prepare and maintain supporting documentation for weekly ACH donations from various donor platforms, ensuring all contributions reconcile accurately with bank deposits.
Generate accurate lists and reports to support donor mailings, electronic communications, stewardship strategies, grant reporting, and the annual report.
Donor Acknowledgements & Stewardship
Coordinate timely donor acknowledgements and welcome materials to ensure donors feel appreciated and connected to NMILC’s mission.
Support the implementation of stewardship and cultivation strategies by tracking follow-up actions for the Development Team, Executive Director, and Board of Directors.
Assist with donor retention efforts, including monthly donor engagement and renewal strategies.
Identify opportunities for meaningful donor outreach, recognition, and storytelling that strength relationships and build long-term support.
Fundraising Campaigns and Events
Coordinate donor appreciation events, house parties, third-party fundraising campaigns, and other gatherings that expand NMILC’s fundraising capacity.
Support the planning and coordination of online and mail-based fundraising campaigns, including Giving Tuesday and other special initiatives.
Ensuretimely recognition and reporting of third-party gifts and campaign outcomes.
Support logistics for NMILC fundraising events, including scheduling, vendor coordination, materials preparation, and travel arrangements as needed.
Communications & Annual Report
Project manage components of the annual report process, coordinating timelines, stakeholders, and vendors to ensure completion on schedule.
Support donor mailings and electronic communications, including list management, personalization, tracking and accurate document in the CRM.
Ensure that fundraising communications are coordinated, well-organized and accessible for future reference.
Administrative & Executive Support
Provide administrative support to the Development team, including meeting coordination, logging donation checks, preparation of materials and reports, file management, and maintenance of the inventory of fundraising materials and supplies.
Support cross-department collaboration with Communications, Finance, and Pro Bono teams.
Assist with special initiatives, such as the annual staff thank-a-thon, NMILC alumni network and NMILC Ambassadors Program that expand NMILC’s community of supporters.
Required Qualifications
Experience in fundraising coordination, project management, development operations, or related administrative work.
Experience working with CRM (contact relationship management) databases and donor data systems, including administrative and data entry.
Proficiency in Microsoft Office (Excel ).
Succinct and compelling writer with strong editing skills and proactive, communicative problem-solving, research, and analytical skills.
High attention to detail, self-directive, and ability to manage multiple priorities in high-volume settings while staying adaptable under pressure.
Excellent interpersonal skills and customer service orientation.
Preferred:
2 years relevant experience
Experience with data analysis and advanced CRM functionality
Bi-lingual English/Spanish.
Experience in nonprofit or immigration-focused organizations.
Compensation and Benefits
Starting Rate: $23.00/hour (full-time, non-exempt), with upward adjustments for additional relevant experience.
