As the Development Operations Manager, you'll play a key role in fueling our mission by managing the systems that power our development efforts. Reporting to the Senior Manager of Development Communications, you’ll take the lead on the day-to-day and strategic operations of our Tessitura fundraising database, overseeing data reporting, membership organizations, and other vital tools.
In this role, you'll be the go-to Tessitura expert for the Development team—crafting targeted reports, pulling high-impact lists, guiding campaign setups, and ensuring seamless gift entry processes. Your commitment to data quality, accuracy, and innovation will help drive donor engagement and elevate our fundraising success.
Responsibilities:
Database Management (40%)
Lead Tessitura backend setup and testing for the Development Department (campaigns, funds, appeals, source codes, and membership organizations).
Manage and execute the Core and At Home memberships Auto Renew workflows, procedures, and utilities in Tessitura on a monthly basis.
Manage regular donor database functions and integrations across multiple platforms, including Tessitura, Vimeo OTT (over-the-top platform), and iWave.
Oversee and troubleshoot Tessitura maintenance, user accounts, reporting, database customization, and data cleanup projects.
Work across departments to integrate new technologies and initiatives to facilitate data entry, refine data processes, create data structures, and improve cross-functional functionalities.
The trainee supervises processes, procedures, and changes in using the database.
Coordinate and update standard operating procedure documentation.
Gift Processing and Acknowledgments (20%)
Guide the processing, receipt, and deposit of all incoming gifts with organized gift information and timely Reconciliation with the Finance Department.
Update standard operating procedures on gift processing workflows when necessary.
Supervise the accuracy and integrity of data entry in Tessitura, including name, address, and salutation formatting, gift designation (campaigns, funds, appeals, source codes, and membership organizations), and all associated information.
Work with the Senior Manager of Communications at the start of the New Year to build and distribute a calendar year-end tax letter for Core and Leaders Circle pledges, monthly Digital memberships, and ticket donations.
Review daily contributions reports to ensure accurate gift entry and that utilities are running properly.
Management and Reporting (40%)
Supervise the Memberships and Development Operations Team regarding gift administration and member services, and support the team with guidance.
Assist the Development Department in providing timely and accurate reports that support acquisitions, renewals, upgrades, and events.
Analyze, interpret, and organize large amounts of data to assist the organization with informed decision-making.
Work directly with the Director of Development to develop and generate weekly, monthly, quarterly, and annual Finance and Development reports.
Other duties as assigned.
Qualifications:
Minimum of 5 years' experience of progressively responsible database experience utilizing fundraising software, or a similar constituent database, and an equivalent combination of education, training, and experience.
Must have a strong background in leading and managing teams, with a demonstrated ability to guide, support, and motivate team members to achieve success.
Proactive and self-starter attitude, able to lead an area of responsibility with minimal supervision.
Demonstrate the ability to work under pressure and keep multiple projects on track without compromising performance.
Have an attitude of service, a commitment to ongoing learning, and the ability to contribute to a team.
Take ownership and responsibility to solve problems and achieve business goals while seeking help from others when appropriate.
Possess excellent verbal communication skills, both written and verbal, and be an active listener.
Exercise sound judgment, handle confidential matters with discretion, and develop a broad knowledge of SFJAZZ’s programs, practices, policies, and procedures.
Have a strong interest in arts, music, and organizational missions.
Extensive experience with a CRM database, especially extractions and list pulls. Tessitura experience is strongly preferred.
Proficient with Microsoft Office Tools (Outlook, Excel, Word, PowerPoint), and experience with online wealth screening tools such as iWave.
Working Conditions:
SFJAZZ supports a hybrid work schedule. This position requires at least 2 days in the office, with potential for long hours during critical periods such as Gala, Festival weeks and other special events; including evening membership and donor events (LCLs and LPs).
