Job Description - Director Of Administration

Position Summary


The Director of Administration serves as a key member of the BGCCR leadership team, providing strategic oversight of two mission-critical functions: Human Resources and Grant Writing. Reporting directly to the Chief Executive Officer, this position is responsible for developing and maintaining a high-performing workforce and securing the grant funding essential to sustaining and expanding BGCCR's programs and services.


The ideal candidate is an experienced, versatile administrator who is passionate about youth development and nonprofit service, and who brings demonstrated expertise in both HR management and grant development.


Key Responsibilities


Human Resources Management



  • Lead all HR functions including recruitment, onboarding, performance management, employee relations, compensation, and benefits administration.

  • Develop, update, and enforce HR policies and procedures in compliance with Arizona state law, federal regulations, and Boys & Girls Clubs of America (BGCA) standards.

  • Manage the full-cycle recruiting process for all staff positions, including creating job descriptions, posting positions, coordinating interviews, and conducting reference and background checks.

  • Oversee employee orientation programs and ongoing professional development initiatives to support staff retention and growth.

  • Serve as a confidential resource for employee concerns; investigate and resolve workplace disputes in a timely and equitable manner.

  • Maintain accurate and confidential personnel records in compliance with applicable legal requirements.

  • Administer compensation and benefits programs; benchmark salary ranges annually to ensure market competitiveness.

  • Ensure compliance with mandatory reporting requirements, including those related to child safety, mandated reporter obligations, and Youth Protection training.

  • Partner with leadership to cultivate a positive, inclusive, and mission-driven organizational culture.

  • Coordinate with payroll processing and maintain working knowledge of applicable employment tax obligations.


Grant Writing & Development



  • Research, identify, and pursue federal, state, local government, and private foundation grant opportunities aligned with BGCCR's strategic priorities.

  • Write compelling, competitive grant proposals, letters of inquiry, and reports that clearly articulate BGCCR's mission, program outcomes, and community impact.

  • Manage the full grant lifecycle — from prospecting through reporting — ensuring all deadlines, compliance requirements, and reporting obligations are met.

  • Maintain a comprehensive grant calendar and tracking system to monitor application deadlines, award status, and reporting schedules.

  • Collaborate with program staff to collect outcome data, success stories, and budget information needed for grant applications and reports.

  • Build and maintain relationships with current and prospective funders through consistent stewardship and communication.

  • Work with the CEO and Finance staff to align grant funding with organizational budgets and program plans.

  • Ensure grant-funded programs are implemented in accordance with funder guidelines and that expenses are properly documented and reported.


Leadership & Administration



  • Serve as a member of the Senior Leadership Team; contribute to strategic planning, budgeting, and organizational decision-making.

  • Prepare regular reports for the CEO and Board of Directors on HR metrics, staffing levels, and grant funding status.

  • Supervise administrative support staff as assigned.

  • Represent BGCCR in the community and at professional association events as needed.

  • Perform other duties as assigned by the CEO.


Qualifications


Education & Experience



  • Bachelor's degree in Human Resources, Public Administration, Nonprofit Management, Communications, or a related field required; Master's degree preferred.

  • Minimum of five (5) years of progressively responsible experience in human resources management.

  • Minimum of three (3) years of demonstrated success in grant writing and/or grant management, preferably in a nonprofit setting.

  • Experience working in youth-serving, social services, or community-based nonprofit organizations strongly preferred.

  • PHR, SPHR, SHRM-CP, or SHRM-SCP certification a plus.

  • Grant Professional Certified (GPC) credential a plus.


Knowledge, Skills & Abilities



  • Comprehensive knowledge of Arizona and federal employment law, including FMLA, ADA, FLSA, and EEO regulations.

  • Proven ability to research, write, and manage grants from government agencies and private foundations.

  • Strong project management skills with the ability to manage multiple priorities, deadlines, and stakeholders simultaneously.

  • Excellent written and verbal communication skills, with the ability to write clearly and persuasively for diverse audiences.

  • High level of integrity and the ability to handle sensitive, confidential information with discretion.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with HRIS platforms and grant management software preferred.

  • Commitment to BGCCR's mission and the ability to model the organization's core values.

  • Strong interpersonal skills with the ability to build trust and collaborate effectively across all levels of the organization.

  • Ability to work independently, exercise sound judgment, and take initiative in a fast-paced environment.


Working Conditions



  • Full-time, exempt position; occasional evening or weekend work may be required for special events or grant deadlines.

  • Primary work location is the BGCCR administrative office in Bullhead City, Arizona.

  • Must be able to pass a fingerprint clearance card check and background investigation as required by Arizona law for youth-serving organizations.

  • Must possess a valid Arizona driver's license and maintain reliable transportation.

  • Must complete BGCA Youth Protection training and all required certifications within 30 days of hire.
