Job Description - Director of First Impressions

Purpose of Job:



  • Creates a positive first impression on behalf of the agency.

  • Directs clients to the proper person in a professional, accurate, and timely manner.

  • Performs clerical duties as assigned.

  • Serves as receptionist and point of first contact for all visitors to the office.



Responsibilities:



  • Handles all incoming fax messages.  Distributes incoming faxes within one hour of receipt.

  • Answers client inquiries if possible or directs them to the correct person to assist them.

  • Reconciles the cash boxes and creates daily deposits for both direct bill payments and on account payments.

  • Processes postage on all outgoing mail and delivers to the post office each night.

  • Assists with organization of agency meetings including ordering of meals.

  • Maintains copy machines, orders supplies and requests service as needed.

  • Provides excellent service at all times.

  • Purchases and inventories agency supplies.

  • Picks up mail, opens and processes mail for distribution to staff each morning.

  • Has responsibility for amount of postage in the postage meter and advises accounting when funds need to be replenished.

  • Processes direct bill and on account payments as they are received and documents them on the management system.

  • Speaks clearly and uses correct English and proper telephone techniques.

  • Handles incoming calls promptly and in a friendly and courteous manner; provides assistance and information as required and connects caller with desired party.

  • Advanced computer skills

  • Self-Motivation

  • Ability to work in a fast-paced environment

  • Exceptional communication and time management skills

  • Ability to multitask



Performance Measurements:



  • Semi-annual performance reviews will be conducted and will entail, but are not limited to, processing efficiencies, workload management, organizational skills, and demonstration of our core values on a daily basis.
