Position Description
The Director of Community Food Resources will lead Goodman’s work impacting food insecurity. This position is responsible for the efficient operation of the Food Pantry and Program Kitchen. Duties include leadership around food safety, program procedures, contract obligations, cost-effective practices, and a high level of commitment to meeting community needs.
Supervision & Staff Support
- Support three direct reports:
- Food Pantry Manager
- Nutrition Administration Manager
- Kitchen Manager
- Manage staff PTO calendar to coordinate coverage and encourage use of PTO year-round
- Crosstrain staff and leverage volunteers to assure consistent coverage of service hours and ability to meet participant needs.
- Be ready to cover any Program Kitchen or Food Pantry position in case of unexpected staff or volunteer absences
- Maintain positive atmosphere and strong relationships with staff
- Lead recruitment, hiring & onboarding for new staff
- Act as backup for timecard approvals, and support staff as they trouble-shoot any payroll or benefits questions with HR
- Coordinate team annual goal setting and conduct annual reviews
- Manage any disciplinary actions and/or performance improvement plans
- Hire temporary kitchen workers via Jobble or similar services when necessary
Food Safety
- Secure/renew kitchen license annually (expires June)
- Manage ServSafe certification and assure staff/volunteer training opportunities
- Act as liaison to Public Health Madison Dane County. Schedule kitchen health inspection to occur annually in September.
- Create weekly inspection routine for Food Pantry & Program Kitchen including sanitizer strip tests & monitoring log. Document cleaning/sanitation tasks for staff to complete.
- Coordinate with Hospitality staff regarding health inspections – both departments should know when an inspector is scheduled to be onsite, have consistent documentation posted, and share basic kitchen procedures. on and required documents and share basic procedures between kitchens.
- Assure consistent stocking of all supplies needed to maintain a sanitary workspace.
Create/Update Written Procedures Guides
- Create new procedure guides for:
- Program Kitchen: Meals on Wheels, CACFP, SFSP, Daily Operating Procedures (where to find recipes, how to start prep, etc)
- Maintain up-to-date protocols for all Food Pantry and Program Kitchen operations
Compliance
- Stay up to date on all grants, contracts, and required practices:
- TEFAP requirements (The Emergency Food Assistance Program)
- Wisconsin DPI (CACFP & SFSP Manuals)
- County Senior Congregate Meal Site (DHS Aging Policy Manual – Nutrition Services)
- Meals on Wheels (County Nutrition inspections & menu approval)
- Others as new contracts are approved
- Coordinate kitchen inspections by County Nutritionist, Second Harvest Food Bank, SSM Health at Home, and other funders/partners as needed
- Identify areas where programs need to adjust to stay in compliance
- Partner with direct reports & Director of Grants Admin for ongoing contract compliance troubleshooting and meeting audit requirements
- CACFP/SFSP Kitchen documentation: Weekly Time Logs, Double check daily meal count forms & spreadsheet, Monthly CACFP billing worksheet
- Complete bi-annual menu pricing analysis to determine average meal price for youth & adult portions
Administrative & Budget Duties
- Manage and optimize Food Pantry & Program Kitchen budgets
- Regular review of vendor options to assure cost-effective ordering
- Leverage use of Harvest Snack in-kind budget and Agency Express ordering opportunities
- Supplies budget – review current purchases & look for ways to maintain quality while cutting costs
- Plan capital expense needs and ensure pantry and kitchen equipment stays in good repair
- Cover direct reports’ time-sensitive admin duties if programs are understaffed and they are unable to be at their desks
- Ordering/Inventory Management
- Invoice review for CACFP non-creditable foods & deliver to Finance for payment
- The Richardson School delivery sheets
- Collect meal count sheets
- Document temporary staff hours and approve vendor (Jobble) payments
Coordinate with other GCC Departments
- Communicate GCC no-program and center closure days to teams for menu/inventory planning and communication to participants
- Act as first point of contact for any other GCC program wishing to collaborate with the Pantry or Kitchen (ex: T-Baskets volunteering, family night food requests, etc).
- Assure accurate information from Childcare & Youth Programs regarding food needs for academic year, summer meals, and summer Goodman Groceries.
- Coordinate opportunities for Kitchen and Pantry staff to engage with other departments, participants, and colleagues.
- Think and plan strategically about Food Resources teams and Goodman Center.
Community Outreach
- Work with Development/Communications to identify opportunities for meaningful community partnerships such as food drives, food donation bins at standard pick-up locations, and/or new meal site delivery partners.
- Work with community partners such as Second Harvest, Healthy Food for All and REAP to strengthen the food pantry and program kitchen resources.
- Attend meetings in the community, city and county level around food insecurity and food waste reduction.
Promote Best Practices
- Minimize food waste via transfers of unused kitchen ingredients/meals to food pantry, consistent composting, and careful inventorying
- Help Kitchen Manager implement changes to improve efficiency and safety
- Serve as thinking partner with direct reports to balance recipe complexity throughout a menu cycle
