Pay: $180,000.00 - $225,000.00 per year

Location

Newport Beach, CA. This is primarily an in-office leadership position, with the flexibility to work from home on Fridays.

Note:

Hands-on Addepar administration experience is a must. Candidates should have at least 2+ years directly administering Addepar, including data management, reporting, configuration, troubleshooting, and related system responsibilities, rather than simply consuming reports prepared by others.

Job Description

  • Partner closely with the current COO as part of a planned leadership succession and knowledge-transfer process.
  • Coordinate and optimize the firm's technology ecosystem, including Addepar, Salesforce, Orion, RedBlack, eMoney, Broadridge/ProxyEdge, and Schwab Institutional.
  • Serve as the firm's power user and administrator for Addepar, overseeing data accuracy, reporting, configuration, integrations, and client-facing outputs.
  • Manage technology vendors and consultants, including licensing, pricing, upgrades, troubleshooting, and ongoing relationships.
  • Identify opportunities to improve workflows through automation, AI tools, and smarter systems integration.
  • Directly manage operations, accounting, and administrative team members, with leadership responsibilities expanding over time.
  • Support hiring, onboarding, performance management, coaching, and employee development.
  • Lead cross-functional projects from planning through execution, including technology rollouts, training initiatives, vendor transitions, and operational improvements.
  • Build project plans, timelines, budgets, and status reporting for firm leadership.
  • Coordinate outside vendors and contractors across operational, facilities, marketing, and administrative initiatives.
  • Support HR administration, benefits coordination, office operations, compliance-related processes, and other firm-wide priorities.
  • Gradually assume broader decision-making authority and operational ownership in preparation for the COO role.
  • Build strong relationships with employees, vendors, industry contacts, and other key stakeholders.
  • Help the CEO and leadership team translate strategic goals into effective operational execution.

Qualifications

  • 5+ years of operations, business operations, business management, or systems leadership experience.
  • 2+ years of direct, hands-on Addepar administration experience, including data, reporting, configuration, and troubleshooting.
  • Experience within wealth management, an RIA, family office, investment management, or a closely related financial services environment strongly preferred.
  • Demonstrated people management experience, including hiring, coaching, and performance management.
  • Strong project management skills with a history of independently driving initiatives through completion.
  • Ability to coordinate multiple technology platforms and drive effective adoption across teams.
  • Exceptional organization, attention to detail, judgment, and discretion with confidential information.
  • Strong communication skills and the ability to work effectively with executives, employees, vendors, and technology partners.
  • Bachelor's degree in business, finance, technology, or a related field preferred but not required.
  • Experience with Salesforce, Orion, RedBlack, eMoney, Broadridge, Schwab Institutional, RIA compliance, or similar platforms is a plus.
