Job Summary

The Director of Practice Administration is responsible for providing oversight of several clinic locations providing support to the Practice Managers, working with the CEO or designee to determine clinic and staff and financial performance expectations and ensuring the team is meeting those expectations and complying with regulations and laws; providing reports and other points of data to CEO and other stakeholders to demonstrate expectations are being met; ensuring a high level of patient satisfaction; providing support to physicians to ensure staffing levels are maintained, the team is appropriately trained and providing regular updates to physicians to ensure their satisfaction as well as to provide updates to the CEO regarding the physician performance. Working with appropriate stakeholders to support business initiatives and meeting business goals. This position is responsible for the recruitment, development and supervision of staff. Travel between office locations is required. 

Essential Functions and Responsibilities

  • Work with direct reports to plan, develop, organize, implement and direct the day-to-day functions of the clinics and its programs and activities to ensure compliance, efficiency, and patient satisfaction 
  • Work with appropriate stakeholders and direct reports to develop budgets, monitor expenditures, and performing daily/ monthly financial management duties in conjunction with the Finance team. 
  • Manage direct report performance including supervising, coaching/counseling front office and clinical staff daily and interviewing, hiring, and training new staff 
  • Work with appropriate stakeholder and direct reports to review the practice’s policies and procedures to make recommendations for continued compliance/current regulations and interpret policies/procedures to employees, patients, family members, government agencies, etc. 
  • Address issues raised by physicians, employees, and patients and seek out appropriate leaders or partners to problem solve and process improve 
  • Work with Providers, direct reports and other stakeholders to ensure schedules are maximized for efficiencies and physician productivity on a daily basis 
  • Work in conjunction with direct reports and the various corporate departments (HR, Finance, Marketing, etc.) to ensure clinic is performing based on expectations.  
  • Perform Practice Manager duties when a specific clinic team does not have a Practice Manager in place to support the clinic (including during PTO, call outs, or vacancies).

Requirements

Qualifications

  • Education: Bachelor’s Degree in Business Preferred. 
  • 3 - 5 years of progressive experience in management roles in Health Care required 
  • Ophthalmology experience preferred 

Skills and Abilities

  • Medicaid and other third-party payor reimbursement guidelines and requirements 
  • Interpersonal skills necessary to communicate vision and leadership to employees and physician partners 
  • Strong negotiation and facilitation skills to effectively influence change
