The Transport Dispatcher is responsible for dispatching and managing drivers and equipment to ensure products are delivered safely and efficiently. The dispatcher will be responsible for processing incoming orders, managing fuel inventories, forecasting orders, updating daily and weekly delivery schedules, loading, and delivery issue resolution, delivery status updates, and exceptional customer service.
The Dispatcher plays a key role and is an integral part of the Beck organization. Dispatchers must have excellent customer service, communication, listening, and time management skills.
Dispatch Operations
- Works with the Transport Manager daily to develop and execute daily delivery schedules and routes. Optimize routes and create delivery schedules that produce the safest, most efficient, and cost-effective logistical solutions. Ensure adequate resources are available to meet customer demand.
- Ensures proper routing and dispatch of the drivers and equipment. Monitors contract volumes and supply allocation to ensure the adequate product is available to load. Responds to unplanned supply disruption and terminal issues by providing carriers with loading instructions. Works with carriers, schedulers, and loading terminals to investigate and resolve loading issues. Provides notice to carriers of planned terminal and site downtimes. Perform analyses to ensure products are being sourced properly and that contracts obligations are being fulfilled.
- Maintains communication with drivers as frequently as necessary to deal with day-to-day issues that affect efficiency and utilization.
- Collaborate and communicate with various departments to ensure deliveries are made in a timely manner and to resolve any problems. Communicates daily as needed, with the Transport Manager on the status and problem resolution. Communicates effectively at shift change to ensure smooth shift transition.
- Use telephone, emails, and text messages to communicate both internally and externally. Provides customers with delivery status updates and time estimates.
- Responds to customer requests (both internally and externally) regarding delivery information, delivery complaints and provides both drivers and 3rd party carriers instruction to resolve any delivery issues and participates in investigating and resolving any delivery issue.
- Follows the defined Beck Suppliers dispatch and scheduling procedures and suggests improvements when needed.
Driver and Equipment Management
- Establishes and maintains a positive, professional relationship with his or her assigned drivers.
- Actively instructs and counsels drivers concerning DOT safety requirements and Beck safety policies and procedures.
- Communicates with drivers concerning equipment issues.
- Communicates maintenance and repair requirements to the Transport Manager and ensures proper scheduling of all service work, fleet, and tank maintenance within budgetary guidelines in the least disruptive way to maximize equipment utilization.
General
- Takes the initiative to maintain and increase his or her dispatching and people-management skills.
- Complies with company policies and procedures and promotes compliance by all personnel.
- Maintains professional, cooperative relationships with customers, other company employees, and vendors.
- Assists with DOT qualification files, PUCO, IFTA, maintenance logs, vehicle titles, and plates.
- Other duties as assigned.
Qualifications
- 2 years of transport or dispatch experience and familiarity with delivery routes and routing.
- Computer skills, including at least Outlook, Word, Excel. Experience with transportation-based software is a plus.
- Excellent organizational and communication skills.
- Ability to deal tactfully with human issues with colleagues.
- Ability to meet deadlines and work under pressure.
