Job Description - Distribution Associate

Position Summary:


The Retirement Plan Distributions Specialist is responsible for accurately and efficiently processing participant distributions related to qualified retirement plans (401(k), 403(b), profit-sharing, etc.). This role ensures compliance with IRS regulations, internal policies, and client-specific plan rules while delivering exceptional service to plan sponsors and participants.



Key Responsibilities:



  • Process participant distribution requests, including lump sum, partial, required minimum distributions (RMDs), hardship, and loan offset distributions.

  • Review and verify completed distribution paperwork for accuracy and compliance with plan rules and federal regulations.

  • Maintain accurate records of processed distributions in accordance with internal procedures and regulatory standards.

  • Coordinate with internal departments (Recordkeeping, Client Services, etc.) to ensure timely and accurate processing.

  • Communicate directly with participants and plan sponsors to resolve questions, obtain missing information, and provide status updates.

  • Assist with mailing or secure digital delivery of distribution packets.

  • Create and maintain Salesforce or other CRM system cases to track and document all distribution activity.

  • Escalate issues to management or compliance as needed.

  • Contribute to the development and refinement of procedures and checklists related to distribution processing.

  • Ensure deadlines are met and service levels are maintained.



Qualifications:



  • 1–2 years of experience in retirement plan administration, financial services, or a similar role (preferred).

  • Familiarity with qualified retirement plans and distribution types (401(k), 403(b), IRAs, RMDs, hardship withdrawals).

  • Working knowledge of IRS regulations regarding retirement plan distributions is a plus.

  • High attention to detail and accuracy.

  • Strong organizational and time management skills.

  • Excellent written and verbal communication skills.

  • Proficiency in Microsoft Office (Word, Excel, Outlook); experience with Salesforce or recordkeeping systems a plus.
