Job Description - District Service Operations Administrator

Summary:


The Service Operations Administrator position ensures that job documentation is accurate, and billing is processed efficiently. The ideal candidate has a strong background in invoicing, job costing, and coordination within the construction, utility, or service industries. 



Essential Duties & Responsibilities:

Billing & Financial Coordination: 



  • Review job tickets, work orders, and field reports to ensure accurate and timely billing. 



  • Generate and process invoices for completed projects, ensuring compliance with union & customer contract terms. 



  • Verify labor hours, material costs, and equipment usage to ensure correct job costing. 



  • Work closely with the finance department to track accounts receivable and help resolve billing discrepancies if applicable. 


Operations Support: 



  • Maintain accurate records of job progress, service tickets, and completion reports. 


Administrative & Customer Service: 



  • Maintain organized records of work orders, contracts, and project documentation. 



  • Address client inquiries regarding billing and service details. 



  • Assist in preparing reports related to operational efficiency, billing trends, and revenue tracking. 



Qualification Requirements:


Experience: 



  • 2+ years of experience in billing, operations coordination, or administrative support in construction, utilities, or a similar industry. 



  • Experience with ERP systems or billing software in the construction or service industry. 


Knowledge: 



  • Knowledge of underground utilities, pipeline services, or field operations. 



  • Familiarity with job costing, contracts, and compliance documentation. 



  • Knowledge of Union and Union rules 



Required Skills:


Communication and Interpersonal Skills 



  • Adaptable to a variety of assignments and settings. 



  • Strong communication skills, both verbal and written, with the ability to interact professionally with employees and customers. 


Technical Proficiency 



  • Proficiency in Microsoft Office Suite (Excel, Outlook, Word) and accounting or job tracking software. 


Organizational and Multi-tasking Abilities 



  • Ability to manage multiple tasks, meet deadlines, and work in a fast-paced environment.

The employee occasionally is required to lift and/or move up to 25 pounds and to walk up to ½ mile daily. Specific vision abilities in this job include close vision and distance vision

While performing the duties of this job, the employee occasionally works near moving mechanical parts; in outside weather conditions and is occasionally exposed to wet and/or humid conditions, and fumes or airborne particles.
