PACE Program of All-Inclusive Care for the Elderly (PACE) is dedicated to providing its participants with comprehensive health and social supports that are proven to effectively manage chronic conditions and to reduce the risk for premature institutionalization. PACE staff are leaders in the “aging in place” industry and we have had the honor of serving Fresno, Bakersfield and Orange County seniors and their families/caregivers.

Job Summary

The Durable Medical Equipment (DME) Supervisor is responsible for overseeing the DME Coordinators who are responsible for processing and handling all Durable Medical Equipment (DME) orders for PACE participants. The DME Supervisor ensures that DME Coordinator tasks are handled in an appropriate, professional and timely manner. DME Supervisor will serve as an additional DME Coordinator on the team, assisting with processing orders and noting updates.  The supervisor will provide coverage at the various locations as needed. The Supervisor will be the first point of contact for any DME concerns from other coordinators or staff from clinic and/or rehab. 

Essential Job Functions

Duties include, but are not limited to:

  • Oversee and supervise the DME Coordinators
  • Assist in standardizing processes across all sites
  • Manages DME coordinators accountable on time and attendance matters
  • Provides meaningful input to direct manager for discipline, when necessary.
  • Responsible for overseeing the training of new hires within the department.
  • Assists staff with questions related to their functions/operations.
  • Assists direct supervisor with timecard corrections, and monitoring time off requests.
  • Support DME coordinators when they have questions and need support for day-to-day items.
  • Communicate with vendors and promote a positive work relationship
  • Offer coverage support
  • Communicate with other departments to ensure that all teams are on the same page
  • Ensure that the Orders Tracking queue stays current and orders are processed within 72-hour turn-around time unless the item is marked as urgent, which escalates the timeframe for processing.
  • Ensure all orders are completed and upload supportive documents pertaining to the order into the participant chart.
  • Able to prioritize orders by level of urgency and address in a timely manner.
  • Ensures that an authorization is approved and created for every order.
  • Ensures that CPT codes, diagnosis codes and clinical information are appropriate and justifiable for every order. 
  • Communicates and follows up with outside vendors/suppliers to ensure that all requirements are received to fulfill the order.
  • Identifies and utilizes community resources. Establishes relationships with servicing vendors and personnel. 
  • Works closely with the Primary Care Providers and participants for expectations on certain orders.
  • Serves as the point of contact for participants and vendors for any questions or concerns.
  • Participate in Durable Medical Equipment delivery to participants homes or pick-up from vendors as needed.
  • Utilize critical thinking skills in recommending improved processes and in overall problem solving.
  • Attend and participate in staff meetings, in-services, projects, and committees as assigned.   
  • Adhere to and support the center’s practices, procedures, and policies including assigned break times and attendance.
  • Accept assigned duties in a cooperative manner; and perform all other related duties as assigned.
  • Be flexible in schedule of hours worked.
  • May be required to use personal vehicle, if applicable. If using a personal vehicle, a valid California Driver’s License and proof of insurance is required. 

Knowledge, Skills and Abilities 

  • Proficient knowledge of computer skills. MS Office (Word, Excel, Access, PowerPoint, and Outlook). 
  • Knowledge of general office procedures, equipment and filing systems.
  • Ability to communicate effectively, both orally and in writing.
  • Ability to quickly learn department policies, procedures, goals, and services.
  • Skill: Attention to detail and accuracy.
  • Ability to change priorities regularly.

  • Ability to access all areas of the center throughout the workday.
  • Ability to lift a minimum of 35 pounds occasionally, 15 pounds frequently, and 7 pounds constantly; required to obtain assistance from another employee when attempting to lift or transfer objects over 50 pounds.
  • Requires constant hand grasp and finger dexterity; frequent sitting, standing, walking and repetitive leg and arm movements, occasional bending, reaching forward and overhead; squatting and kneeling.
  • Ability to communicate verbally with an excellent comprehension of the English language. 
  • Work is generally performed in an indoor, well-lighted, well-ventilated, heated, and air-conditioned environment.

Requirements

Experience

  • Minimum of 1 year of demonstrated successful experience as a DME coordinator or equivalent role.
  • Minimum of one (1) year of documented experience working with a frail or elderly population. 

Education and Certification 

  • At a minimum a High School Diploma or GED is required.
  • CPR with First-Aid certification 
  • Is medically cleared for communicable diseases and has all immunizations up-to-date before engaging in direct participant contact.
