Job Description - DMV Services Administrator

Principal Responsibility: The DMV Services Coordinator is responsible for all aspects of vehicle-related documentation and compliance processes for APAA. This includes the preparation, review, and submission of vehicle registration, title transfers, lien releases, and tag documentation following state and federal laws. The position ensures accuracy, regulatory compliance, and timely processing of all DMV-related paperwork associated with vehicle sales and transfers.



Position is:  Hourly, non-exempt            Position Reports to: Administrative & DMV Services Manager


Position Supports: APAA Company


 


The DMV Services Administrator is Responsible For:



  1. Prepare and submit all DMV-related paperwork, including title transfers, registrations, applications for duplicate titles, lien releases, and temporary tags, in compliance with Alaska State DMV regulations.

  2. Ensure proper documentation and verification of ownership for all vehicles received and sold through auctions, including VIN checks, title status, and lienholder information.

  3. Maintain accurate and organized records of all vehicle paperwork, tags, and title transactions, both electronically and physically, for audit and compliance purposes.

  4. Conduct internal audits of all motor vehicle transactions and documentation to ensure compliance with the State of Alaska and federal requirements.

  5. Track and report the status of pending title work, missing information, or incomplete documentation; follow up with customers and lienholders as needed.

  6. Respond to DMV-related inquiries from clients, vendors, or staff in a timely, professional manner.

  7. Assist the Vehicle & Equipment Manager in ensuring all vehicles meet the documentation and legal requirements before being listed for auction or released to buyers.

  8. Coordinate with the State of Alaska DMV regarding questions, escalations, or unique title issues.

  9. Notarize legal documents related to vehicle transactions, such as Power of Attorney forms, affidavits, and lien releases, following state law.

  10. Stay up to date on DMV rules and regulations affecting vehicle transfers, registration, titling, and auction sales.

  11. Assist with tag and plate issuance where applicable and monitor inventory of DMV-related forms and materials.

  12. Educate internal staff and clients on DMV processes to ensure smoother transactions and compliance.

  13. Performs other duties as assigned and supports APAA with miscellaneous tasks and special projects.



Supervisory Responsibilities


This position has no supervisory responsibilities.



Knowledge, Skills & Abilities



  1. Knowledge of Alaska DMV laws, policies, and procedures related to titling and registration.

  2. Excellent attention to detail, with a strong ability to maintain accuracy in data entry and recordkeeping.

  3. Strong communication skills for interacting with clients, government agencies, and internal departments.

  4. High level of integrity and confidentiality when handling sensitive personal and vehicle information.

  5. Proficiency in Google Workspace and auction/vehicle management software.

  6. Ability to prioritize and manage multiple deadlines in a fast-paced environment.

  7. Critical thinking and problem-solving skills to handle exceptions or escalated DMV issues.

  8. Ability to meet attendance requirements; ensure work responsibilities are covered when absent; arrive at meetings on time.

  9. Ability to maintain a positive, supportive, solution-focused attitude.


 


Minimum Qualifications



  1. High school diploma or GED equivalent.

  2. One (1) year of experience working as a title clerk, DMV processing, or vehicle documentation role preferred.

    1. Training for Level 1 DMV will be provided, and Level 2 DMV training when eligibility requirements are met.



  3. Familiarity with Alaska DMV forms and procedures; previous experience in an auction or automotive setting is a plus.

  4. Valid Alaska Driver’s License.

  5. Ability to pass fingerprinting, background, and reference checks.

  6. Ability to become a Notary Public in the State of Alaska.

Occasional overtime is required.

Schedule:     M-F, 9a-6p, 1-Hour Unpaid Break for an 8-Hour Shift


Experience:  General office clerical experience for one year (Preferred)


                     Accounts payable for one year (Preferred)


                     MS Office/Google Workspace applications for one year (Preferred)
