Document Control Specialist

About the role

We are seeking a Document Control Specialist to join our team. As a document control specialist, you will be responsible for managing all controlled documents for our company, ensuring that everyone is on the same page when necessary. You will also create, design, and maintain document processes and procedures, and enforce the proper chain of action and document identification.

Essential Functions:

Provide oversight of document control activities on projects; ensure that the quality of document control deliverables meets expected standards.

Provide oversight of vendor data activities on projects; ensure that the quality of vendor data deliverables meets expected standards.

Ability to communicate with all levels of management, clients, and project team members to achieve project objectives

Receives all deliverables and logs them into the document control system, then creates and distributes transmittals to the clients, vendors, and project personnel.

Scan, image, organize, and maintain documents/filing system, adhering to the company's document procedures.

Maintains documentation logs utilizing the document control system throughout the project.

Post documents/drawings to the Project page, FTP Site, SharePoint, etc.

Work closely with the client on the status of project documents.

Develop and/or maintain documents such as meeting minutes, drawings, specifications, and approvals.

Ensure work is being performed within the guidelines of our company policies and procedures.

Preferred Qualifications:

Understanding shop and erection drawings(Preferred).

Construction experience

1 to 3 years of applicable experience.

Strong written and verbal communication skills. Natural ability to scale and interact with all levels of an organization.

Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook)
