Job Description - Document Controller

We are seeking a highly organized Remote Document Controller to manage, maintain, and distribute company documents while ensuring accuracy, compliance, and version control. The ideal candidate will oversee document management processes, maintain digital records, and support project teams by ensuring documentation is properly stored, tracked, and readily accessible in a secure remote environment.

Key Responsibilities

  • Maintain, organize, and control electronic documents and records.
  • Review documents for accuracy, completeness, and compliance with company standards.
  • Manage document version control, revisions, approvals, and distribution.
  • Upload, archive, and retrieve documents using document management systems (DMS).
  • Track document status and ensure timely processing of revisions and approvals.
  • Coordinate with project teams, engineering, quality, and operations departments to maintain accurate documentation.
  • Protect confidential and sensitive information while ensuring proper document security.
  • Prepare document control reports and support internal and external audits.

Qualifications

  • High school diploma or equivalent required; Associate's or Bachelor's degree in Business Administration, Information Management, Engineering, or a related field preferred.
  • 2+ years of experience in document control, records management, or administrative support.
  • Experience with document management systems such as SharePoint, Aconex, Procore, OpenText, or similar platforms.
  • Proficiency in Microsoft Office, particularly Word, Excel, and Outlook.
  • Strong organizational skills, attention to detail, and ability to manage multiple priorities.
  • Excellent written and verbal communication skills.
  • Ability to work independently in a remote environment.
