Think Simple is seeking a highly organized and detail-oriented Document Management Assistant to support the company's administrative and project operations. This remote role is responsible for maintaining, organizing, tracking, and securing company documents, ensuring that project files, contracts, technical documentation, and client records are accurate, accessible, and compliant with company standards.
The ideal candidate has strong organizational skills, excellent attention to detail, and the ability to manage multiple priorities in a fast-paced technology and project-driven environment.
Key Responsibilities
Organize, maintain, and update electronic company records and databases.
Manage project documentation, contracts, proposals, permits, and client files.
Ensure documents are accurately filed, categorized, and easily retrievable.
Monitor document version control and maintain revision histories.
Review documents for completeness, accuracy, and compliance with company procedures.
Coordinate document distribution among internal teams, clients, vendors, and project stakeholders.
Assist with data entry, reporting, and record management activities.
Support project managers and department leaders with administrative documentation needs.
Maintain confidentiality and security of sensitive company and client information.
Identify opportunities to improve document management processes and workflows.
Required Qualifications
High school diploma or equivalent; associate or bachelor's degree preferred.
1 year of experience in document management, administrative support, records management, or a related field.
Strong proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and SharePoint.
Excellent organizational and time-management skills.
Strong written and verbal communication abilities.
Ability to work independently in a remote environment.
