COMPANY OVERVIEW:

Allies for Every Child (Allies) exists to give at-risk children and children living in poverty the foundation they need to increase their life choices and lead fulfilling lives. For over 30 years, Allies has been providing thousands of at-risk children and their families with critical, high-quality early education programs (including comprehensive Early Head Start services), family strengthening interventions, foster care and adoption services, and a range of vital, integrated services, including educational assessments, disabilities screenings, nutrition, dental and vision screenings, mental health and pediatric health consultations.

JOB SUMMARY:

The Early Education Enrollment Specialist works under the supervision of the Early Education Administrative Manager to ensure that all enrollment, eligibility, attendance, selection and recruitment requirements are met based on contracts standards and regulations.

ESSENTIAL JOB DUTIES:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. · Maintain accurate data information in NoHo and Child plus at all times

· Process family fees, invoices, credits and adjustments

· Work with network of contracted licensed Family Child Care providers to locate placements for children

· Support internal file reviews, monitoring follow-up items and communicating with relevant parties

· Provide written and oral translation support as needed

· Communicate with clients and Family Child Care providers

· Update client files as needed

· Enroll families in Allies programs

· Coordinate with teachers for classroom transitions and new clients

· Conduct recertification packets and recertification appointments for each enrolled child annually and ensure any changes in family’s circumstances are reflected in file and data system

· Keep track of all of relevant client deadlines: school ending, job search ending, submitting job search timesheets, and payments due – following program requirements.

· Ensure emergency cards are updated as needed by parents and communicate changes to appropriate staff.

· Collect and update appropriate staff on any health documents received

· Notify teachers of all schedule changes and changes in contact information

· Calculate and distribute fees as needed

· Send out Notices of Action(NOA)to families as required and in a timely manner

· Consult with Early Education Administrative Manager on terminations

· Collect meal counts from Health Service Coordinator and submit information to Early Education Administrative Manager

· Collect and total classroom meal counts from Child plus system and report to Early Education Administrative Manager (EHS & EHS-CCP)

· Collect and complete all CACFP information needed for parents upon enrollment and updated once a year. Keep CACFP rosters up to date for entire center.

· Calculate and distribute family fees as needed

· Distribute and collect monthly attendance.

· Monitor and enter attendance.

· Keep a roster of all families with legal restrictions, custody issues, restraining orders, etc.

· Serve as point of contact for parents when parents request.

· Support continuous quality improvement efforts, and other program or agency initiatives as needed

· Provide Office Assistant coverage

· May be required to work evenings and weekends as needed

· Comply with all applicable federal, state and county regulations

· In accordance with our “team” philosophy, the person filling this position may occasionally be required to carry out or assist with other tasks in addition to the duties listed on this job description.

· Staff must believe in and act in accordance with both the Agency's and the program's mission/vision statements, adopted theoretical frameworks, and philosophy.

QUALIFICATIONS & EDUCATION:

· High school graduate or equivalent; AA or BA a plus

· Bilingual in English/Spanish (written and verbal) required

· Ability to communicate effectively

· Customer service and/or recruitment/promotional experience preferred

· Pleasant, professional speaking manner on the phone and office experience; professional personal presentation

· Experience working with diverse groups and populations

· Basic computer skills required – Word, Excel, Outlook, etc.

· Experience with California Department of Education, Head Start, Early Head Start, a plus

· Ability to effectively organize and plan; strong organizational skills

· Self-starter; detail oriented

· Commitment to continuous development and quality improvement

· Flexible and collaborative with a demonstrated commitment to teamwork

· Be passionate about learning and curious about issues affecting children and families

· Dependable and reliable

· Able to thrive in a fast paced environment

· Fingerprint background clearance (DOJ, FBI & Child Abuse Clearance Index), or approved exemption

· Successful completion of pre-employment physical, PPD risk assessment and proof of COVID-19 vaccination, immunization for pertussis, measles and influenza (can decline)

· Class “C” driver’s license, proof of insurance and access to reliable transportation required
