Early Learning Projects Coordinator

The Early Learning (EL) Projects Coordinator supports Child Development (CD) with projects aligned with departmental requirements. The EL Projects Coodinator oversees outreach efforts, attends recruitment events, delivers outreach presentations, and coordinates volunteers and interns within the CD program. Additionally, this position collaborates closely with partners to effectlively promote the CD Program. The El Projects Coordinator will manage the administrative functions of the Multi-Tiered system of supports (MTSS).

Responsibilities Include: 

• Provides support to the Director and Early Learning Services, the Multi-Tiered System of Supports (MTSS) Manager, and the Early Learning Projects Manager on various projects, contributing to departmental efficiency and success.


• Collaborate with MTSS Manager to facilitate training on the new MTSS system.


• Monitor and follow up on action plans associated with the MTSS system.


• Partner with the EL Projects Manager to devise and execute a strategic outreach plan to enhance program awareness within the community.


• Conduct recruitment presentations and staff resource tables at the community-based partner organizations to attract prospective participants.


• Engage in collaboration recruitment efforts with other program staff.


• Coordinate with management to organize staffing and schedules for events and activities.


• Provide training to staff, as necessary, on conducting outreach presentations and organizing community recruitment data.


• Develop and maintain a comprehensive record-keeping and tracking system for all outreach and recruitment data.


• Serve as the primary liaison for community-based partners, family service staff, and other personnel involved in recruiting participants for the Child Development program. 


• Represent Wu Yee Children's Services at Community meetings, particularly concerning the Child Development program. 


• Order and maintain supplies, tools, and equipment for program outreach activities.


• Collaborate with El Projects Manager to cultivate a volunteer base representative of the community including the languages and cultural practices of the children and their families participating in the program. 


• Deliver presentations to potential volunteers outlining program outreach activities.


• Oversee the recruitment, screening, training, and retention of volunteers; coordinate, schedule, monitor, and evaluate their performance to ensure optimal program coverage and effectiveness; confirm adherence to all departmental procedures; and address public inquiries arising from volunteer programs or staff.


• Partner with Center Managers and other Managers to support program volunteers. Engage in regular check-ins and provide support to foster strong partnerships between volunteers and managers.


• Act as the primary contact for the Foster Grandparent program, MYEEP, and Opportunity for All programs. 


• Organize and facilitate online and in-person orientations and training sessions for schools and youth-serving organizations. 


• Administer and maintain the volunteer database, encompassing application/registration, interviewing and background check process.


• Maintain volunteer schedules, timesheets, files, and records, including basic database management and the generation of statistical data.


• Perform additional duties as assigned.

Education Required:

• Bachelor's Degree in Early Childhood Education, Psychology, or related field required.

Knowledge/Experience/Skills Required:

• 2 years+ experience working in the early education or social services field.


• 2 years+ experience with administrative tasks such as filing, scheduling, answering phones, talking to clients, etc.


• 3 years+ experience working in a non- profit setting with culturally diverse children and families. 


• Computer literacy and familiar with MS word, Excel, and Outlook, including knowledge of working with databases.


• Regularly required to operate standard office equipment (Personal computer, photocopy machine, fax machine, etc.).


• Occasionally required to stoop, kneel, climb, and lift 5-10 pounds. 


• Demonstrates skills in the areas of planning, organization, prioritization, and time management.


• Demonstrates active learning and seek opportunities for continuous professional development. 


• Ability  to work on a computer up to 7 hours a day.


• Excellent writing and oral communication skills. 


• Ability to demonstrate independent decision-making.


• Bilingual in English /Spanish preferred.
