Education & Professional Services Assistant

The hourly range for this position starts at $20.00-26.00 per hour, depending on experience, qualifications and location. Final compensation will be determined during the interview process

We are currently seeking a proactive, organized Education & Professional Services Assistant to support our growing network of clinicians, educational programs and product training initiatives.
Essential Functions:
- Education Kit Management
- Manage, prepare, and maintain education kits to support Ivoclar educational programs, including hands-on courses, workshops, and training events.
- Coordinate inventory, organization, replenishment, and shipping of education kits to ensure timely availability for all programs.
- Ensure education kits align with program objectives, materials requirements, and brand standards.
- Ivoclar Academy Education Kit Oversight
- Oversee Ivoclar Academy–specific education kits, ensuring consistency, completeness, and readiness for on-site and off-site programs.
- Collaborate with internal teams to update kits based on curriculum changes, product launches, and evolving educational needs.
- Continuing Education (CE) Credit Support
- Support the administration and documentation required to provide CE credits for Ivoclar educational courses.
- Assist with course setup, attendance tracking, evaluations, and record-keeping in compliance with accrediting body requirements.
- Coordinate with internal stakeholders to ensure CE-related processes are accurate and completed on time.
- On-Site Program Support at Ivoclar Facilities
- Assist with the planning, setup, execution, and breakdown of Ivoclar Academy programs conducted at Ivoclar facilities.
- Provide logistical and operational support during programs to ensure a seamless learning experience for participants and faculty.
- Educational Program Communication Support
- Assist in drafting, reviewing, and coordinating communications related to educational programs, including invitations, confirmations, agendas, and post-course follow-up.
- Support consistent messaging aligned with Ivoclar branding and education objectives across internal and external communications.
- Travel Support for Educational Activities
- Travel as needed to support Ivoclar educational activities, including on-site course assistance, logistics coordination, and program execution.
- Represent Ivoclar Academy professionally during educational events and training programs.
- Educational Content Upload & Platform Support (Pimcore and other platforms)
- Support the upload, organization, and maintenance of educational program content within Pimcore and related digital platforms.
- Ensure accuracy, completeness, and timely updates of course materials, schedules, and program information.
- Virtual Education Support
- Support virtual and hybrid educational activities, including webinar setup, speaker coordination, participant support, and post-event follow-up.
- Assist with testing, troubleshooting, and execution of virtual education platforms to ensure high-quality delivery.
- Other responsibilities
- Collaborate closely with Education, Marketing, Sales, and Operations teams to support Ivoclar’s global education initiatives.
- Maintain high attention to detail, organization, and professionalism across all education-related activities
- Contribute to continuous improvement of education processes, systems, and learner experience.
Your Qualifications:
- Strong knowledge of Microsoft Office (Word/Excel) required, Outlook and PowerPoint required.
- Knowledge of SAP preferred.
- Excellent verbal and written communication skills required
- Strong interpersonal, time management, organizational and attention to detail skills required.
- Proven ability to work both independently and in a team setting and to follow specific procedures.
- High school diploma required with a minimum of 2 years office/secretarial or related experience.
- Dental background preferred.
