Position Summary:

The Education Assistant is responsible for supporting the functions of Omaha Performing Arts’ education programming, with a focus on ticketing, registrations, data tracking, communications, scholarship/subsidy applications and payment collection. As a member of the Programming & Education Department, the Education Assistant will work closely with staff across numerous departments to deliver programs as outlined in the strategic plan. This position works under the supervision of the Senior Manager of Classes & Camps. This position requires a proven commitment to diversity, equity and inclusion with the ability to implement the organization’s Core Values of Team, Trust, Integrity and Inclusion, while providing excellent internal and external customer service.

Principal Duties and Responsibilities:

  • Assist with the logistics and administration of education activities, including: Student Matinee Series, Wolf Trap Early Learning Through the Arts, Musical Explorers, Disney Musicals in Schools, Jazz Academy, Nebraska Theater Academy, Hip Hop Lab, tuition-based classes and summer camps. 
  • Enter program details and track data across multiple software systems that manage patron accounts, room/resource reservations, scheduling, ticketing, tuition/payment collection, and program registrations.
  • Assist with communication of program details internally across departments, and externally to program participants while providing excellent customer service. 
  • Track and organize the receipt of all education program registrations, subsidy/scholarship applications, invoices, payments, participation agreements, release forms, and other paperwork, sending reminders to participants as needed.
  • Collaborate with the Ticket Omaha staff to execute Student Matinee Series logistics and provide customer service for school partnerships.
  • Schedule Student Matinee Series pre-show workshops and distribute study guides.
  • Assist with department travel arrangements and guest artist travel as needed.
  • Prepare and track check requests and assist with credit card reconciliation.
  • Track education department activity for use in fundraising and institutional communications as needed.
  • Assist with updating education contact database and program timelines.
  • Organize and catalogue education photo/video assets as needed.
  • Assist with program research and assessment as needed.
  • Regular attendance and punctuality are essential functions of this position.
  • Other duties, as assigned.

Requirements

  

Experience and Qualifications:

  • High school diploma or GED; Associate’s or Bachelor’s degree in a performing arts, education, business administration, or related field or equivalent preferred.
  • One or more years of experience in office administration, K-12 school, patron services, or related field preferred.
  • Highly organized and detail-oriented self-starter with excellent time-management and customer service skills.
  • Excellent verbal and written communication skills.
  • Ability to work in a fast-paced, changing environment.
  • Proficient in MS Office Products (Word, Excel, Outlook and SharePoint); knowledge and experience working with Tessitura and Momentus software a plus.
  • Proven ability to learn new applications and databases.
  • Proven ability to multi-task and interact professionally.
  • Ability to work occasional evenings and weekends as needed.
  • Ability to maintain confidentiality.
  • Must have an appreciation of the performing arts, arts education and ability to work with youth.

Physical Demands:

  • The work environment characteristics are representative of those an employee encounters while performing the essential functions of this job.
  • May be required to sit, stand, and walk for extended periods of time.
  • The noise level in the office environment is usually quiet; public events are moderate to loud.
  • Ability to lift 40 lbs.

  • General Office Equipment (Computer, Telephone, Fax, Copier, Printer).
