Job Description - Education Department Manager

SFJAZZ is looking for a passionate educator and music lover to oversee the day-to-day Education department operations. This role works closely with the Director, Education and CE to ensure the department runs smoothly, integrating across all SFJAZZ departments and ensuring accountability and efficiency. As a critical anchor for the team, the Education Department Manager oversees event scheduling and project management, accounts payable and receivable, contracts and other document tracking. The Education Department Manager is also responsible for oversight of SFJAZZ’s School Programs, which includes liaising with school district officials, management and training of the On-Call Teaching Artists, and data reporting critical to the organization’s fundraising and evaluation goals.  


 


Responsibilities: 


 



  • Accomplishes SFJAZZ Education department objectives and oversees completion of key deliverables to all stakeholders 



  • Manages and tracks all department contracting, invoices, payments and scheduling 



  • Processes and tracks all artist contracts 



  • Manages all department event bookings and facilitates event allocations using Artifax software 



  • Oversees School Programs staff by recruiting, selecting and training new employees, and developing personal growth opportunities 



  • Stewards and maintains relationships with external partners, including school district officials 



  • Supports the Director in budget creation, oversite and reforecasting 



  • Project manages all department events, including contracts, payments, pre and post communication, survey analyses and logistics with other key stakeholders (cross-functional) 



  • Manages internal department calendar and all cross-functional meetings using Asana and calendaring software 



  • Coordinates, submits and tracks all department marketing requests using Asana 



  • Represents the department at weekly interdepartmental meetings  



  • Maintains and submits statistical data to Devo and Finance teams 



  • Coordinates scheduling of monthly department Newsletter in Asana 



  • Takes meeting notes, following up on action items and calendaring as needed 



  • Oversees departmental surveys and document management 



  • Updates department contact lists regularly using Tessitura and Excel Docs 



  • Maintains mailing lists and class lists using Tessitura software 



  • Proofreads marketing and website materials 



  • Maintains guest lists for department events with support from the Box Office team  



  • Coordinates department offsite meetings, PDs, workshops and staff retreats 



  • Provides cross-departmental support for On Sale events, Gala (Tessitura interface, cross-functional) 



  • Assists at department events as needed (both on and off-site) 



  • Other duties as assigned  


 


Qualifications: 



  • Must be able to multitask, be thoroughly organized, detail-oriented and deadline driven 



  • Excellent computer skills needed; must be able to work independently and with limited input 



  • Excellent written and verbal communication skills 



  • Excellent project-management, organizational and time management skills 



  • Positive outlook with problem solving skills  



  • Strong knowledge of MS Office 360, Asana, and Artifax   



  • Experience using Tessitura (or commensurate knowledge of a similar database) 



  • Ability to read music a plus but not necessary 



  • Detail-oriented, excellent proofreading skills 



  • Ability to write a professional and clear email to a variety of clients 



  • Non-profit and/or Performing Arts background 



  • Minimum of 5 years, including administrative management experience  



  • Basic music and music industry literacy a plus 



  • Multilingual or bilingual (Spanish-English) a plus 



  • College degree preferred 


 


Working Conditions  


This position is  to be on-site minimum of 3 days/week. SFJAZZ produces events and performances at all times of the day/week. Evenings/weekends may be required. Light travel may be required for this position.
