Job Description - Education Support Administrator (Hybrid)

Description

  

BELLAMI is looking for an Education Support Administrator to join our growing team! This role is essential in ensuring seamless operations for our education programs, supporting stylists, sales teams, and internal stakeholders. You’ll be the go-to person for administrative support, customer service, and process coordination to help elevate our stylist education initiatives.

This role does require a hybrid working model, with three days onsite at our Chatsworth location.

We have a salary range of $80,000-$85,000 for this position

Key Responsibilities:

Administrative & Operational Support

  • Approve and process invoices related to education programs, including payments for educators and training-related expenses.
  • Oversee approving invoices for educators and assist with budget preparation and expense tracking for the education department.
  • Provide support as a travel point of contact, assisting with travel arrangements and logistics for educators, trainers, stylists, and internal teams.
  • Perform general administrative tasks such as scheduling meetings, organizing files, maintaining records, preparing reports, and coordinating class calendars.
  • Assist with class preparation and manage and order supplies needed for educational programs and events.
  • Maintain and update educational materials and resources.
  • Run and analyze reports on software systems such as NetSuite, Salesforce, and Shopify.
  • Assist in project management for educational initiatives and programs, ensuring timely execution and coordination across departments.
  • Assist with onboarding and training of new educators and administrative staff.

Education Program Tracking & Analysis

  • Track and document the progress of education programs through data analysis.
  • Utilize surveys and other feedback mechanisms to assess program effectiveness.
  • Oversee post-class communication and tracking through surveys and follow-up communications to attendees.
  • Collaborate with the Training and Development Manager to ensure alignment of educational programs with overall company goals.
  • Coordinate with the Training and Development Manager and other stakeholders to ensure effective program execution.
  • Assist in tracking educator content and bookings.
  • Provide regular updates and support to the Senior Director of Education regarding the progress and success of educational programs.

Educator Support

  • Serve as the primary point of contact for a team of educators (independent contractors), ensuring consistent support and communication.
  • Answer and manage emails coming through the department email to address internal and educator needs promptly.
  • Customer Support & Engagement
  • Provide customer service support to stylists, addressing inquiries and ensuring a smooth education experience.
  • Maintain regular touchpoints with certified stylists, offering continued guidance and upselling advanced courses.
  • Sales & Communication
  • Oversee operations for internal communications between the sales and education teams, ensuring timely updates on inventory, class availability, and changes.
  • Manage communication with the sales team regarding product inventory and its impact on scheduled classes.
  • Support outreach efforts to enhance customer engagement and drive additional course enrollments.

Marketing & Swag Development

  • Contribute innovative ideas for swag items to enhance the stylist experience and reinforce brand loyalty.

Requirements

  • 5–8 years of experience in an office administrative or support function.
  • Background in customer service, operations, or sales support preferred.
  • Experience in the beauty industry is a plus.
  • Strong organizational skills and ability to manage multiple projects simultaneously.
  • Excellent communication and problem-solving skills.
  • Proficiency in Microsoft Office; familiarity with NetSuite, Salesforce, and Shopify a strong plus.
