INTRODUCTION:

To provide and coordinate various events and activities for the Elders Council. This position will provide coordination of transportation, is responsible for the monitoring of the Elders Council Budget and reporting to Elders Council and the Social and Human Services Director. 

DUTIES:

  • Prepare and distribute Elder’s newsletter and prepare articles regarding elder activities, and information of interest to Elders for Tribal newspapers.
  • Responsible for maintenance and regular updates of Elders mailing list.
  • Assists with coordination of culture activities for Elders in each area through Area Office Supervisors, and culture staff.
  • Responsible for motel reservations, purchasing transportation tickets, scheduling vehicles, and all aspects of arranging for Elders activities.
  • Process check requests for elders’ trips and corresponding activities (i.e. Elder’s Council meetings, Pow-wows, elders meetings, tribally sponsored events, Elder conferences, etc.).
  • Provide information and referral services for Elders.
  • Provide support when necessary to Title VI Elders Program Coordinator, including typing, copying, distributing, filing, purchasing scheduling appointments, meetings and travel arrangements, delivery of meals if necessary and answering telephones.
  • Assist with sorting of and distribution of daily mail and correspondence.
  • Attend monthly Elder’s Council meetings on a regular basis and maintain regular contact with the Elders Chairman.
  • May be required to provide physical support to Tribal Elders during activities and on outings, including lifting and moving items up to 50 pounds.
  • Responsible for providing quarterly and annual reports to the Social and Human Services Director and Elders Council.
  • Elders Council Coordinator provides back up and assistance wherever it is needed to provide continuity of services to Tribal Elders. Cross training will take place between the Elders Title VI Coordinator position and the Elders Council Coordinator position. 
  • Other duties as assigned.

Requirements

REQUIREMENTS:

High school diploma or GED and two years clerical experience in a general office setting, -OR- a combination of two years specialized education and experience, -OR- satisfactory completion of a related Work Experience placement and demonstrated skills to perform the duties for this position.

Knowledge of:

  • Knowledge of correct punctuation, capitalization, spelling, and grammar.

Experience in:

  • Working with word processing, database, and spreadsheet software.
  • Working with various office equipment including: computers, photocopier, calculator, FAX, and multi-user telephone system.
  • Working with the public and maintaining good working relations with co-workers and the Tribal community. Must be a dependable self-starter and able to work independently under minimal supervision.
  • Experience/familiarity with services/programs available to Tribal Elders within the Siletz Tribe and the surrounding communities.

Ability to:

  • Work under pressure with the flexibility to handle several jobs at one time.
  • Lift 50 pounds or more.
  • Plan, coordinate, organize and facilitate all aspects of all planned Elders activities.
  • Acquire a working knowledge of program/service eligibility requirements.
  • Travel overnight and on the weekends.
  • Work on evenings or weekends to accommodate the needs of the Elders.

Other:

  • Must possess good communication skill, both written and verbal.
  • Must possess valid Oregon State Driver’s License, auto insurance; and be eligible to drive a GSA Vehicle. Must be able to safely drive a multi-seat van.
  • Must adhere to the confidentiality of information and individuals as described in the CTSI Management Manual and other applicable federal laws and regulations.
  • Must be First Aid and CPR certified or must be able to acquire within 60 days of hire.
  • Must possess a valid State of Oregon Drivers License, with verifiable automobile insurance and the ability to drive a GSA vehicle.
