SUMMARY

The Customer Supply Chain Coordinator, with a focus on B2C and B2B operations, plays a pivotal role in ensuring the smooth execution of business-to-business transactions and related processes. This role involves managing B2B orders, coordinating with the warehouse, handling returns, and assisting with retailer chargebacks.
A successful candidate will be able to work independently as well as within a team environment. This is an opportunity for someone who is proactive and driven to learn in a growing luxury skincare brand.
 
ESSENTIAL REPONSIBILITIES

B2C Order Management:
•Serve as the primary point of contact for the end-to-end B2C order process, ensuring accuracy and completeness of all incoming orders on a daily basis.
•Thoroughly review and validate B2C orders, identifying and resolving any discrepancies or missing information.
•Partner closely with the Customer Care team to efficiently manage order cancellations, address customer inquiries related to order status, and provide timely resolutions.
•Proactively identify and escalate any suspicious orders or potential fraudulent activities to the appropriate teams for thorough investigation.

B2B Order Management:
•Accurately receive and meticulously enter B2B customer orders into the order management system, ensuring all details are captured correctly.
•Collaborate effectively with the warehouse team to communicate order priorities and ensure timely and efficient processing of B2B shipments.
•Provide proactive and timely order tracking information to B2B accounts, maintaining clear and consistent communication regarding their shipments.

B2B Cancellation & Shortage Management:
•Take ownership of the B2B cancellation and shortage reporting process, publishing comprehensive weekly reports detailing order discrepancies.
•Conduct in-depth analysis of cancellation and shortage data to identify recurring trends, root causes, and potential areas for improvement within the supply chain.
•Clearly communicate findings and insights to relevant internal teams (e.g., sales, warehouse, procurement) to facilitate proactive problem-solving and preventative measures.

B2B Returns (RTV) Coordination:
•Act as a key support for the retail Return to Vendor (RTV) process, ensuring all stakeholders adhere to established procedures and timelines.
•Assist with maintaining a comprehensive monthly report to track B2B returns.

Retailer Chargeback Management:
•Play a crucial role in the investigation, dispute, and tracking of chargebacks received from retail partners.
•Collaborate effectively with sales, finance, and other relevant teams to gather necessary documentation and insights to effectively challenge unwarranted chargebacks.
•Work diligently to resolve chargeback issues promptly and implement preventative measures to minimize future occurrences.

Cross-Functional Collaboration:
•Actively collaborate and communicate with various internal teams, including Marketing, Sales, Finance, and Product Development, to ensure seamless alignment of supply chain activities with overall business objectives and strategies.
•Contribute to cross-functional projects aimed at improving supply chain efficiency, customer satisfaction, and overall operational excellence.

QUALIFICATIONS & CHARACTERISTICS

•Strong verbal and written communication skills.
•Proficiency in MS Excel / Google Sheets is required.
•Planning and organization skills with the ability to manage multiple duties simultaneously.
•Proven ability to quickly adapt and drive the right results using data.
•Highest levels of integrity and ethics.
•Excitement for working in an environment where each day can be very different from the last with a high level of ambiguity and change.
