Job Description - Engagement Coordinator

Description

OUR CORE PURPOSE:

Together with our partners and participants, we cultivate communities where people are progressively seen, accepted, challenged, and supported. 

ABOUT THIS ROLE:

This role will be responsible for recruiting, training, scheduling, managing, and retaining volunteers, including corporate, schools, groups and individuals with the intent of converting volunteers into ongoing supporters and organizational ambassadors. This position ensures a positive and productive experience for volunteers and contributes to achieving organizational goals by aligning volunteer efforts with department needs. This position will be responsible for engaging the community to maintain current relationships and to find and develop new ones, while cultivating support for the mission.

  

KEY  RESPONSIBLITIES

Volunteer Recruitment & Outreach

  • Develop and implement effective volunteer recruitment strategies to attract diverse and qualified volunteers.
  • Create outreach plans to promote volunteer opportunities through social media, community events, local groups, and online platforms.
  • Maintain partnerships with local schools, organizations, and community groups to foster volunteer engagement.
  • Engage the public in our mission by attending events and assisting in identifying and fostering new partnerships.

Volunteer Onboarding & Training

  • Organize and assist with application and orientation for new volunteers to introduce them to the organization’s mission, values, and roles.
  • Develop and update training materials to ensure volunteers know about required topics; promote position-specific training within departments.
  • Match volunteers to appropriate roles based on skills, interests, and availability.

Volunteer Scheduling & Coordination

  • Create and manage volunteer calendar of opportunities and assist with scheduling as needed.
  • Use volunteer management software or other tools to coordinate volunteer activities and assignments efficiently.
  • Communicate regularly with volunteers to confirm availability and provide role-specific details or updates.

Volunteer Supervision & Support

  • Act as a point of contact for all volunteers, addressing concerns, feedback, and providing guidance.
  • Monitor volunteer performance and engagement, providing support and additional guidance as needed.
  • Foster a positive and inclusive environment for volunteers, promoting teamwork and recognition.
  • Maintain communication with volunteers by being accessible including checking email and voicemail regularly.

Volunteer Retention & Recognition

  • Develop strategies to retain volunteers by ensuring their experiences are meaningful and impactful.
  • Plan and execute volunteer appreciation events and recognition programs to celebrate and acknowledge volunteer contributions.
  • Solicit feedback from volunteers regularly to identify areas for improvement in the volunteer experience.
  • Continuously improve the volunteer experience and volunteer program.

Administrative & Reporting

  • Maintain accurate records of volunteer participation, hours, and achievements in volunteer database.
  • Prepare reports on volunteer activity, demographics, and overall impact for internal stakeholders or external funders.
  • Develop and enhance volunteer material, as needed.
  • Support the development of regular volunteer newsletter/mass communication.

Collaboration with Other Team Members, Departments, & External Parties

  • Promote and foster effective, meaningful, and positive communication, and teamwork strategies.
  • Work closely with location managers, event coordinators, and other staff to determine volunteer needs for specific projects and events.
  • Ensure smooth communication between volunteers and other departments to align volunteer efforts with organizational goals.
  • Support efforts to convert volunteers to donors and organizational ambassadors.
  • Attend team meetings to update staff on volunteer initiatives and upcoming events requiring volunteer involvement.
  • Research and seek new potential partnerships to support the SMH mission and goals.
  • Work collaboratively with diverse populations and including persons involved in legal/probation/community service situations. Perform intake process for Community Service volunteers and submit final documentation upon completion. 
  • Work with various probation offices/personnel to complete and file necessary documents for community service hours.

Requirements

  

Education

  • High school diploma required; preferred Bachelor’s degree in a related field (e.g., Social Work, Human Resources, Nonprofit Management) or equivalent experience.

Experience

  • Previous experience in volunteer management, human resources, or community outreach.
  • Prior experience in a faith-based environment and comfortable sharing the love of Christ and mission of SMH.
  • History of experience working with diverse populations.
  • Demonstrated experience approaching stressful situations in a calm manner and collaborating with various individuals to constructively and professionally resolve conflicts.

Skills & Working Conditions

  • Proficient in using volunteer management software and Microsoft Office Suite.
  • Strong interpersonal and communication skills (both written and verbal); capable of quickly developing rapport and building relationships. 
  • Ability to work with people in a friendly, caring manner both independently and as part of a team.
  • Strong organizational and time-management skills; Attention to detail and project management skills.
  • Ability to move and communicate quickly and easily in a fast-paced environment with competing priorities.
  • Flexible hours may be required, including some evenings and weekends.
  • Physical ability to      handle, feel, reach, and occasionally lift/move up to 25 pounds.
  • This position is located in Naples. It includes daily travel between designated Naples locations and travel to all SMH locations throughout SWFL as needed. 
  • It requires valid FL driver’s license, reliable transportation, and personal auto insurance limits of at least 100/300/100 carried throughout employment period. 
  • Bilingual preferred.
