Job Description - Environmental Health Office Manager

INTERNAL APPLICANTS ONLY.



POSITION OVERVIEW:


The Environmental Health Office Manager oversees the daily administrative operations of the Environmental Health Department, ensuring efficient workflow, assists with regulatory compliance, and provides support for field staff and public services. This role involves coordinating with office personnel, departmental activities, maintaining records and reporting systems, performing all billing functions, and supporting programmatic efforts in environmental health.

ESSENTIAL FUNCTIONS:


• Coordinate with administrative staff, including training and workflow processes.
• Serve as a liaison between clerking staff and environmental health scientists.
• Manage day-to-day operations of the office, ensuring smooth workflow and adherence to departmental procedures.
• Act as an administrative assistant to the Environmental Health Director.
• Maintain accurate records for inspections, permits, complaints, and enforcement actions.
• Support environmental health programs through scheduling and documentation.
• Help prepare reports and correspondence.
• Perform all billing functions related to Environmental Health, including issuing invoices and processing payments.
• Create innovative ways to make daily processes efficient and effective.
• Be well-versed in TriCounty Environmental Health policies and procedures, state rules for each program, county ordinances, and interoffice procedures.
• Process incoming and outgoing mail.
• Keep a complete and organized log of inspections.
• Set up and manage paper or electronic filing systems, recording information, updating paperwork, maintaining documents, and performing data entry.
• File documents in appropriate files.
• Record minutes for Environmental Health Staff meetings.
• Must be able to coordinate with surveyors, contractors, water systems, builders, etc., and have knowledge of their individual regulations.
• Develop strong working relationships with county officials.
• Cross-train with the Nursing Office Manager to be a back-up with billing and other duties as needed.
• Performs other duties as assigned.

MINIMUM QUALIFICATIONS:


• Environmental Health Knowledge


• Advanced Computer Knowledge


• Ability to train and work with others effectively


Time Management -- Managing one's own time and the time of others
• Customer Service Experience
• Strong Verbal Communication Skills
• Great Organizational Skills
