Escrow Assistant - Escrow Pre-Processor

About the Role

We are seeking a highly motivated and proactive individual to serve to support our Escrow Processing Team. As an Escrow Pre-Processor you will be responsible for gathering, reviewing, and ensuring all preliminary requirements are met, files are accurately set up, and transactions are ready for smooth processing by the Escrow Processor. 

The ideal candidate is detail-oriented, organized, and has a strong understanding of real estate transactions and title/escrow processes.  The candidate MUST contain excellent communication skills, organizational skills and be a team player.  This is a client facing position that also requires a high attention to detail, time management and the desire to provide “best in class” customer service with an out-going personality to match.

Responsibilities, Knowledge, Skills, and Abilities

• This is an on-site position in Sterling Heights, MI


• 1–3 years of experience in escrow, title, or real estate industry preferred.


• Review incoming contracts, purchase agreements, and opening documents from realtors, lenders, or clients.


• Review title commitments/reports and verify legal descriptions, vesting, and property tax information.


• Request payoff statements, homeowner association (HOA) information, and other supporting documents as required.


• Contact buyers, sellers, agents, and lenders to obtain missing information or signatures.


• Verify earnest money deposits and ensure funds are received and processed.


• Communicate status updates to clients and internal team members.


• Ensure all pre-closing documentation is collected and the files properly documented.


• Maintain compliance with state regulations, company policies, and industry best practices.


• Provide general administrative support to escrow processors, including scheduling signings and coordinating with notaries and clients.


• Knowledge of technology including common business software platforms as well as common title and escrow software systems used by the title insurance industry, including but not limited to Resware, Qualia, HOA Status Letter Sites, Lender Client Portals and numerous state, county, and municipal sites.


• Provide exceptional customer service to our clients and internal staff members.


• Overall knowledge of the entire Escrow process from when order is received to the closing table and the ability to handle post-closing communications as needed.


• Excellent communication and interpersonal skills. Leads by example, has high quality standards, and provides educational assistance and constructive feedback to team members.


• Additional duties as may be assigned by Manager.
