Job Description - Event and Tradeshow Manager

Opportunity:

VSG is committed to providing innovative products and delivering the best customer experience. We are seeking a dynamic and detail-oriented Event and Tradeshow Manager to join our team. This role is crucial in shaping and executing our event strategy, ensuring seamless execution from concept to completion.

This individual is responsible for all aspects of brand, consumer and company events, and leads in the strategic planning of company-initiated and sponsored events, and ‘owns’ them from start to finish. This individual will build an event strategy, communicate with key stakeholders and execute events that include trade shows, climbing events, workshops, customer appreciation events, webinars, sales meetings, etc. which build and strengthen all of VSG’s brands and web stores.

This individual must possess excellent communication skills and the ability to build a working rapport within all departments in the Organization. This individual must be “self-managed” and can work independently and effectively without direct supervision.

Event Duties & Responsibilities:

Event Strategy Development:

Develop comprehensive event strategies that align with company goals and objectives.

Establish an event “brief” that helps determine the ROI.

Identify target audiences and tailor event experiences to maximize engagement and impact.

Conduct market research to identify industry trends and opportunities for event participation.

Partner cross-functionally with sales, marketing, and operations team to ensure all key stakeholders are on board.

Event Planning and Coordination:

Manage master event calendar

Establish a project management process to proactively ensure all key stakeholders are aligned and on track

Manage physical inventory of trade show booths, displays, tents, and other marketing materials.

Oversee all aspects of event planning, including logistics, budgeting, vendor management, tradeshow assets, attendees and contract negotiations.

Create detailed project plans and timelines to ensure all event components are executed on schedule.

Coordinate with internal teams (marketing, sales, product, etc.) to ensure cohesive event messaging and branding.

Establish post-mortem process to document whether events were a success and whether to continue attending.

Execution and On-Site Management:

Manage on-site event operations, including inbound and outbound freight logistics, setup, booth personnel, food requirements as needed, and breakdown.

Ensure all technical requirements are met and troubleshoot any issues that arise during events.

Work with external tradeshow partners to ensure a seamless event for attendees and VSG.

Provide exceptional customer service to event attendees, exhibitors, and sponsors.

Post-Event Evaluation:

Conduct post-event evaluations to assess success and areas for improvement.

Compile and analyze event metrics and feedback to report on ROI and attendee satisfaction.

Implement lessons learned to enhance future events.

Communication and Collaboration:

Serve as the primary point of contact for all event-related inquiries.

Facilitate clear and effective communication between internal teams, external partners, and stakeholders.

Maintain strong relationships with tradeshow vendors, freight and logistics contacts, warehouse staff, industry partners and internal stakeholders.

Requirements:

Bachelor’s degree in Event Management, Marketing, Business, or a related field.

Minimum of 5 years of experience in event management, with a proven track record of successful event execution.

Strong project management skills with the ability to manage multiple events and priorities simultaneously.

Experience in project management software like Monday.com is required.

Comprehensive understanding of what is required to plan and coordinate tradeshows, sales meetings, sales meetings and other events.

Experience working with tradeshow venue partners, freight logistics and tradeshow booth vendors is strongly recommended.

Excellent written, verbal, & interpersonal skills is a MUST.

Multi-tasking skills required – with excellent attention to detail.

Enthusiastic, passionate, self-starting approach to work and life overall

Ability to work independently and make sound decisions under pressure.

Must be able to lift 30-40 pounds and willingness to organize materials within a warehouse setting

Comfortable with standing at a tradeshow booth indoors or outdoors for long periods of time.

“Can-do” spirit with a willingness to roll up their sleeves, and take on any needed tasks

Ability to understand and engage with customers of all types and demographics

Willingness to travel domestically and internationally for site reviews and venue set up – up to 84 days/year

Proficiency in the arborist, rope access or rock climbing industries is a plus.

Physical Demands

involves exerting 50 – 100 pounds of force occasionally, or in excess of 50 pounds frequently or in excess of 20 pounds constantly to move objects. Frequent reaching and/or grasping using hands and/or arms. Frequent use of hands requiring dexterity in using the telephone, computer keyboard, or other objects. Visual ability including distance, peripheral and depth perception. Regularly required to talk and hear.
