Job Title: Event Assistant

Job Summary:

We are seeking a dynamic and organized individual to join our team as an Event Assistant. This role will involve providing essential support in the planning, coordination, and execution of various events. The ideal candidate will be detail-oriented, proactive, and possess excellent communication skills. This is an exciting opportunity for someone with a passion for events and a desire to contribute to memorable experiences.

Key Responsibilities:

  1. Assist in Event Planning: Collaborate with the event manager to conceptualize and plan events, including conferences, meetings, and social gatherings.
  2. Venue Coordination: Research and secure suitable venues for events, negotiate contracts, and coordinate logistics.
  3. Vendor Management: Liaise with vendors such as caterers, decorators, and AV technicians to ensure all arrangements are in place and meet the event requirements.
  4. Attendee Management: Assist with attendee registration, manage RSVPs, and provide support during the event to ensure a smooth experience for all participants.
  5. Administrative Tasks: Assist with administrative duties such as preparing event materials, maintaining databases, and managing correspondence.
  6. On-Site Support: Provide on-site support during events, including setting up and dismantling equipment, overseeing signage, and addressing any issues that arise.
  7. Post-Event Evaluation: Assist in gathering feedback from attendees and stakeholders, compiling post-event reports, and identifying areas for improvement.

Qualifications:

  • Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.
  • Excellent communication and interpersonal skills, both written and verbal.
  • Detail-oriented and capable of maintaining accuracy in a fast-paced environment.
  • Proficiency in MS Office suite and familiarity with event management software is a plus.
  • Flexible schedule, as some evening and weekend work may be required.
