Job Description - Event Coordinator - The Institute for Advanced Learning and Research

About the role

We manage the food and beverage operations at the Institute for Advanced Learning and Research, and we're looking for an Event Coordinator to own the details that make events run right — banquets, business meetings, social events, job fairs, fundraisers, and everything in between.

This is a role for someone who likes being in the room. You'll sit in on client meetings, build the timeline, walk the space, check the setup, and be there on event day making sure what was promised is what happens.

Compensation: $50,000 per year

What you'll do

  • Coordinate events from first client meeting through day-of execution

  • Build and maintain event timelines, setup needs, and detailed records

  • Plan catered event details — order specifications and quantities, manpower levels, personnel assignments, space and facility scheduling

  • Run rehearsals and tastings

  • Make sure rooms are set correctly, then inspect finished arrangements before doors open

  • Work with department heads and support staff so everyone has the information they need

  • Help develop and monitor service standards so quality stays consistent event to event

What you bring

  • Associate's or bachelor's degree in Event Management, Communications, or a related field

  • At least one year of relevant experience, or a demonstrated interest in day-of event management

  • Hospitality experience and the instincts that come with it — the ability to read a situation and make a good call quickly

  • Comfort with Microsoft Word, Excel, and Google Workspace

What makes someone successful here

Events reward people who are dependable, detail-obsessed, and calm when something changes 20 minutes before service. You'll be working alongside a team constantly, so a cooperative, good-natured approach matters. And you'll need to be willing to take charge — to speak up, offer ideas, and make the call in the moment when it's yours to make.
