Event Planner, Specialist

Overview 

Join Vanguard’s Workplace Marketing Events team as an Event Planner, Specialist, where you will play a central role in delivering high-impact, client-facing experiences. This position supports a portfolio of large-scale events, executive forums, and targeted client engagements designed to strengthen relationships and elevate Vanguard’s brand. 

Unlike traditional event planning roles, this position emphasizes strategic thinking, content development, and stakeholder partnership. You will collaborate closely with senior leaders and cross-functional teams to shape the purpose, messaging, and attendee experience from concept through execution. 

What you'll do:

• Partner with senior leaders and business stakeholders to design and deliver events aligned to strategic business objectives 

• Lead the end-to-end execution of large-scale and high-visibility events, ensuring quality, consistency, and cost-effectiveness 

• Translate business goals into compelling event strategies, content, and attendee experiences 

• Collaborate with speakers and partners to develop cohesive messaging and programming 

• Manage event plans, budgets, timelines, and performance metrics with a strong focus on continuous improvement 

• Serve as a trusted advisor by staying current on industry trends, technology, and innovative event practices 

• Build and manage relationships with internal teams and external partners to ensure seamless execution 

• Identify risks, ensure compliance, and contribute to broader team priorities and special projects 

Who we're looking for:

• 5+ years of professional experience, including at least 2+ years in event marketing, event planning, or related field 

• Proven ability to manage complex, high-visibility events and stakeholder relationships 

• Strong project management and organizational skills with attention to detail 

• Experience collaborating with senior leaders and cross-functional teams 

• Data-driven mindset with the ability to evaluate event performance and drive improvements 

• Bachelor’s degree required

Additional information:

• This is a hybrid position based in Malvern, PA, with remote work on Mondays and Fridays and in-office collaboration Tuesday through Thursday.
