Job Title: Events & Development Manager

The Special Events Manager is responsible for planning and executing high-impact events that drive fundraising revenue, deepen donor and community relationships, and elevate the visibility of Boys & Girls Clubs of St. Lucie County. This role blends creativity and logistics, overseeing a wide range of internal and external events while collaborating across departments to deliver exceptional experiences that advance our mission.
· Lead all aspects of event planning including budgeting, timelines, logistics, and execution.
· Serve as the primary point of contact for vendors, venues, and event partners.
· Coordinate design, production, and distribution of event collateral with the Communications team.
· Manage event set-up, staffing, run-of-show, and teardown.
· Use OneCause to manage event registration, ticketing, auction items, attendee communications, and real-time reporting.
· Partner with operations, kitchen staff, and site teams to coordinate logistics for in-Club events such as Community Power Lunches and open houses.
· Support and manage logistics for facility rentals and community event partnerships.
· Work cross-functionally to ensure alignment between events, Club programming, and organizational goals.
· Develop and manage a strategic calendar of fundraising and stewardship events (e.g., galas, donor receptions, third-party fundraisers).
· Secure event sponsorships, in-kind donations, and auction items.
· Collaborate with the development team to cultivate and steward donors through events.
· Prepare post-event reports and impact summaries for sponsors and donors.
· Oversee post-event data entry and ensure donor information is accurately captured in the donor database (CRM).
· Monitor data quality and collaborate with the Donor Stewardship team to maintain clean and up-to-date records.
· Designs reports upon request on event impact, funds raised, and related topics.
· Plan, oversee, and lead Special Events Committee Meetings
· Occasional nights & weekends required
· Actively participate in BGCA trainings, internal trainings, and All Staff meetings
· Completes any additional assignments as requested
· Recruit, coordinate, and manage event staff and volunteers, ensure they have the necessary resources to do their jobs effectively, and oversee team throughout event
· May oversee a part-time Resource Development Assistant, responsible for producing and distributing donor correspondence, including thank-you letters
· Must submit to and pass Level 2 background screening through the Florida Department of Children & Families.

· Bachelor’s degree from an accredited college or university preferred in a related field (preferably Marketing, Public or Community Relations, Event Planning)
· A minimum of three years’ work experience in a non-profit agency setting, specifically in the fundraising field, sales/marketing, or equivalent experience
• Must have a positive work ethic, attention to detail, strong initiative, and be reliable
• Ability to work independently without supervision, and with a team or board members
• Adjust direction and priorities within a fast-paced and multi-faceted work environment
• Proven ability to manage multiple priorities; strong organization, detail, and process management orientation
• Working knowledge of office equipment
• Strong proficiency with computers, desktop publishing, database entry, and full Microsoft Office suite, email, and internet
• Ability to read, analyze, and interpret data and information and apply appropriate judgment
• Ability to handle confidential information with discretion; High level of professionalism and diplomatic etiquette
• Above average interpersonal skills; ability to work with and through people at all levels to accomplish goals
• Must be a self-starter and demonstrate an ability to learn quickly
• Passion for providing extraordinary customer service; company brand ambassador
• Experience managing client and vendor relationships
• Experience project manager with excellent follow-through skills
• Experience with CRM systems (e.g., Salesforce, DonorPerfect, or similar); ability to manage donor data with accuracy and confidentiality.
Some travel may be required for training and/or other business purposes.
Our offices, neighborhood clubhouses, and school-based clubs are fast-paced work environments and are strategically located in areas of St. Lucie County where youth need us most. Based on the organization's needs, flexibility to work different schedules and work in different locations in St. Lucie County is required due to changing business demands.
