Job Description - Events Manager

Description

The Estuary is a newly renovated events venue located on the Old Northside. Formerly the historic All Souls Unitarian Church, then turned into a single family residence, our goal was to restore the space into a unique place for gathering, relationship and celebration! The facility has many rentable spaces, including overnight accommodations in our onsite AirBNBs, for intimate gatherings for parties with under 35 guests and 24 weddings per year with up to 140 guests.

The Events Manager is responsible for the comprehensive management of our event facilities, including marketing and maintaining rentable spaces. Key responsibilities include conducting tours for prospective clients, coordinating event logistics/contracts, and arranging overnight accommodations in our onsite AirBNBs, when necessary. The Events Manager will be present during events, if needed, and available on-call to address any issues or last-minute changes. Additionally, the role involves coordinating site maintenance to ensure facilities are consistently clean and presentable for tours and events, and developing creative marketing strategies to maximize space availability and revenue.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Comprehensive management of event facilities.
  • Conducting tours for prospective clients.
  • Coordinating event logistics such as catering access and event parking.
  • Determining event duration and access.
  • Arranging overnight accommodations in onsite AirBNBs when necessary.
  • Being present during events, if needed, and available on-call.
  • Coordinate cleaning before and after spaces are rented.  
  • Hire and manage all site landscaping services to ensure grounds are maintained, that snow and ice are removed from sidewalks before events or overnight stays, etc. We want the highest level of curb appeal for current and prospective clients.
  • Develop creative marketing strategies to keep spaces rented year round.
  • Maintain database and all software entries to reflect real time reservations and payments for all rentable spaces
  • Execute contracts quickly for reservations to ensure the client understands all requirements for use of space and monetary obligations associated with the rental.  
  • Maintain a network of local caterers and/or other vendors to assist clients with easy planning by attending events and/or inviting vendors into the space to offer their services.  
  • Ensure space and events function in a manner that will not disturb surrounding residences.  

Requirements

SKILLS AND QUALIFICATIONS:

  • Position requires high level of competency for attention to details 
  • Must be able to juggle multiple activities and/or events at once
  • Position requires strong sense of urgency
  • Must have impeccable interpersonal skills (both in-person and electronic methods of communication will be necessary)
  •  Must be self motivated with the ability to work independently
  • Will be required to work evenings and weekends, with weekdays “off” to be in attendance when our patrons want to host their gatherings and view the spaces.  

EDUCATION, TRAINING AND/OR EXPERIENCE:

  • Bachelor of Science in Hospitality Management, Hotel Administration, Restaurant and Foodservice Management, or Event Management preferred but not required.  
  • 5 Years Experience, required

  • Event planners must be able to work a variety of hours, including evenings, weekends, and holidays, to accommodate event schedules.

  • Reach, stoop, kneel, or crouch: To access equipment or assist with event setup. 
  • Climb or balance: If the event venue requires it. 
  • Use hands to finger, handle, or feel objects: To work with decorations, equipment, or supplies. 
  • Talk or hear: To communicate with clients, vendors, and event staff.
