Job Description - Events & Sponsorship Coordinator

Ultimate Staffing is seeking professional candidates for an Events & Sponsorship Coordinator position. This is a direct hire position in Gaithersburg, MD.
The Event and Sponsorship Coordinator plays a key role in the planning, coordination, and execution for a large-scale annual event, assuming responsibility for management including, but not limited to, vendor relations, sponsorships, and logistics. This position requires excellent organizational and writing skills, attention to detail and the ability to multitask in a fast-paced team environment. This is a full time position and hours are 8am-4:30pm, Monday through Friday. There are some evening and weekend assignments as well as occasional travel for training throughout the year. Salary starts at $70k.

Responsibilities include, but are not limited to:

Coordinate all commercial space logistics, including vendor communication, contract management, and sponsor agreements.
Manage food booth operations, including updating contracts, overseeing financial accountability, and ensuring compliance with health and safety regulations.
Maintain and update the organization website, social media channels, and marketing materials to promote the event and engage attendees.
Assist with event planning, entertainment scheduling, and logistical support to ensure a seamless and enjoyable experience for event attendees.
Manage non-event rentals, including meeting with potential renters, updating rental information, and coordinating event logistics.
Collaborate with grounds and maintenance staff to communicate event setup needs and ensure proper execution.
Provide support for other logistical tasks as needed.
Act as a liaison between sponsors, vendors, volunteers, and other stakeholders to ensure the success of the event.
Qualifications:

Proven experience in event planning, coordination, or management.
Strong organizational skills with the ability to manage multiple tasks simultaneously.
Excellent communication, especially written, and interpersonal skills.
Bilingual in English and Spanish highly desired.
Proficiency in Microsoft Office Suite, social media platforms, Adobe, Canva (and WordPress, a plus).
Ability to work independently and as part of a team in a collaborative environment.
Flexibility to work evenings and weekends as required during peak event periods.
Able to travel for conferences and training meetings throughout the year.
