We are now looking for an Executive Assistant located in Paphos, Cyprus that will play a pivotal role in ensuring the smooth and efficient operation of the executive office. This individual will support the CEO and Executive Team in managing daily administrative, operational, and strategic tasks, while also assisting with cross-departmental coordination and special projects.
The ideal candidate will be highly organized, proactive, and resourceful, capable of handling multiple priorities with professionalism and discretion.

Job Responsibilities
Provide comprehensive administrative and logistical support to the CEO and Executive Team, including calendar management, meeting coordination, travel arrangements, and follow-ups
Serve as the primary liaison between the CEO and internal/external stakeholders, ensuring professional communication and timely execution of action points
Prepare high-quality reports, presentations, correspondence, and briefing materials for executive meetings and corporate communications
Support strategic discussions by documenting key decisions, maintaining confidentiality, and ensuring follow-up on assigned actions
Manage confidential personal and professional matters for the CEO, including appointments, document organization, and coordination of personal logistics
Oversee office operations to ensure a professional, organized, and efficient workplace, including supervision of cleanliness, maintenance, and supplies management
Develop, implement, and maintain office procedures that enhance organizational effectiveness
Manage end-to-end procurement processes — from identifying needs and sourcing suppliers to negotiating contracts and preparing purchase orders
Oversee mail and courier handling, ensuring timely and accurate receipt and dispatch of correspondence
Plan and coordinate company participation in conferences and events, including logistics, registrations, travel, and brand-aligned promotional materials
Draft official documents and certificates for events, awards, and recognitions with accuracy and consistency
Maintain and update company documentation on Confluence, ensuring content is current, organized, and easily accessible
Conduct research and gather data to support executive decision-making, presentations, and strategic initiatives
Undertake special projects and additional tasks assigned by the CEO or Executive Team, ensuring timely, high-quality, and confidential execution
Bachelor’s degree in Business Administration, Management, or a related field
3+ years of experience as an Executive Assistant or in a similar administrative role supporting senior leadership
Fluent in English, both written and verbal; additional languages will be considered an advantage
Exceptional organizational, time management, and multitasking skills
Strong communication and interpersonal abilities, with a polished professional demeanor
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and collaboration tools (Confluence, Slack, Google Workspace, etc.)
Discretion and confidentiality in handling sensitive information
Ability to work independently, anticipate needs, and take initiative in a fast-paced environment
