Job Description - Executive Assistant

We are looking for an Executive Assistant to perform a variety of administrative tasks and support our company’s senior-level managers. Executive Assistant’s responsibilities include managing calendars, making travel arrangements and preparing expense reports. To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance. Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to executive members.

Our Selection Process We use a structured, multi-stage approach to ensure a thorough, fair, and non-discriminatory evaluation: Initial review of your emailed resume. An initial group interview with the team to discuss your background and experience. For candidates who advance from the group interview, a short video assessment (3-4 minutes total) where you'll respond to four real-world scenarios. This step helps us evaluate key skills like clear communication, prioritization, discretion, and independent problem-solving when executives are unavailable. Full instructions and the scenarios will be provided at that time. Alternative formats (e.g., written responses or phone discussion) are available upon request to ensure accessibility. A final individual interview conducted jointly with Operations/HR representatives and the CEO. All stages are evaluated solely on job-related criteria such as organization, professionalism, judgment, proactivity, and relevant experience. We do not consider any protected characteristics in our decision-making. Key Responsibilities (you will own these)

  • Calendar & life management: ruthless daily/weekly scheduling, constant re-prioritization, reminders, and protecting the principal’s time
  • Communication gatekeeper: screen calls, emails, texts, DMs; draft responses in the principal’s voice; know when to handle it yourself and when to escalate
  • Social media & marketing execution: create and schedule daily Instagram, Facebook, TikTok, and X content; run Meta/Google ads; track performance and optimize
  • Transaction & property support: draft leases, addendums, and LOIs; coordinate showings, photographers, cleaners; manage tenant onboarding and move-in checklists
  • Errands & on-the-road support: must have reliable personal vehicle, valid Arizona driver’s license, clean driving record, and be willing to drive principal, investors, or run critical errands
  • Research & reporting: market reports, contractor bids, permit status, tax document prep, investor update packets—whatever is needed that week
  • Ad-hoc everything: event setup, gifting, booking dinners, coordinating contractors at personal residences, etc. No task is beneath you if it keeps the machine running smoothly

  • No prior real estate experience required
  • We will teach you everything about multifamily development, lease-ups, and investor relations. Recent grads, career-changers, military transitions, and ambitious self-starters are strongly encouraged to apply if you have the raw intelligence, work ethic, and loyalty.
