Job Description - Executive Assistant

Job Summary:


The Executive Assistant provides high-level administrative support to the MTN Executive Team


The Key job duties for this position are as follows:


Operations Management: 



  • Drafting and proofing emails, memos, invoices, reports, contracts and other documents.

  • Drafting reports, preparing presentations, taking meeting notes (both virtual and in person), maintaining records, filing, and managing expenses for the team, etc.

  • Retrieves information as requested from records, emails, and other related documents; prepares written summaries of data when needed

  • Maintains communication records and upkeep of CRM

  • Responds to and resolves administrative inquiries and questions

  • Helps create content for MTN and Nelson University

  • Flexible in availability through phone or text

  • Assists in the onboarding process of new team members

  • Assists CEO and Executive team as needed


Calendar Management: 



  • Managing, prioritizing, and executing effective scheduling

  • Daily observation and awareness of executive calendars and communicates calendar priority when necessary

  • Manages calendars for meetings rooms

  • Prepares agendas and schedules for meetings


Travel & Logistics: 



  • Coordinating and booking complex, detailed, and sometimes international travel itineraries, meetings, and agendas for the entire team

  • Communication to team any travel logistics

  • Collecting and submitting travel receipts

  • Tracking expense reports

  • Submitting and reconciling per diem


Administrative Support: 



  • Orders supplies and keeps all pertinent areas stocked

  • First point of contact for office visitors 

  • Welcomes and directs visitors and clients

  • Maintains digital filing systems

  • Hosts and leads hospitality events of MTN such as organization of meetings, ordering food, set up and tear down 

  • Maintains and keeps track of office related expenses

  • Responsible for overseeing the upkeep of office space and building amenities

  • Oversees internship responsibilities

  • Prepares printed materials for team both in-house and through 3rd party vendors

  • Maintains good working relationships with MTN 3rd party vendors
