About the Role

The Executive Assistant is responsible for high-level, confidential support to the CEO. This individual has primary responsibility to provide a wide variety of comprehensive tasks and responsibilities related to supporting the CEO’s day-to-day operational activities.

POSITION ESSENTIAL DUTIES & RESPONSIBILITIES

  • Strategic Inbox & Calendar Management: Proactively manage the CEO's calendar, prioritizing high-value meetings and protecting time for strategic planning.
  • Executive Meetings & Stakeholder Liaison: Coordinate logistics for meetings, draft agendas, and compile/distribute meeting materials.
  • Operational Support: Handle complex travel logistics, expense reporting, and strategic projects. Act as a central coordinator across departments to gather data and insights required for high-stakes presentations, moving stalled tasks forward to protect project deadlines.
  • Project Management. Support end-to-end project lifecycles for the CEO’s key initiatives, to ensure all deliverables, timelines, and dependencies are tracked and met.
  • Deck Building & Storytelling (50-60% of time): Take ownership of designing and editing high-impact presentations for meetings, investor pitches, company all-hands, and external conferences. Transform raw data, outlines, and notes from the CEO into polished, cohesive narratives.
  • Communication Management: Liaise with CEO to facilitate internal and external correspondence with high confidentiality.
  • Finance: Create, process, and track company purchase orders to ensure timely procurement of goods and services. Facilitate the internal approval workflow, routing invoices to the CEO or relevant department heads for signature.

The Executive Assistant requires a minimum of a Bachelor’s Degree and:

  • 3+ years supporting a C-Level executive, preferably in a fast-paced or startup environment. Advanced proficiency with Microsoft Office.
  • Expert-level proficiency in PowerPoint, Keynote, and/or Canva. Ability to create modern, visually appealing decks quickly.
  • Advanced proficiency with Microsoft Office.
  • Ability to synthesize information and anticipate the CEO’s needs, acting as a thought partner, not just a task manager.
  • Excellent written and verbal communication skills; ability to draft memos and communications with a tone that mirrors the CEO.
  • Proven ability to handle sensitive corporate and personal information with discretion.
  • Team-player mindset, proactively seeking opportunities to help others and go beyond to get the job done.
  • Trustworthiness in dealing with confidential information.
  • Self-motivation and a “can-do” attitude.
  • Entrepreneurial spirit with a desire to take on an increasing level of responsibility.
  • High customer service orientation, including being highly responsive and wanting to deliver impressive results.
  • Ability to travel up to 10% of the time.
