Kennedys, a global law firm with offices throughout the US, is seeking a detail-oriented and proactive Executive Assistant to join our Miami office.
This is a hybrid position, requiring a minimum of 4 days on-site in our Miami office.
Key Responsibilities - Provide high-level administrative support to the firm's US Managing Partner
- Maintain a high-volume email inbox by screening communications, prioritizing urgent matters, drafting responses when appropriate, and ensuring timely follow-up
- Coordinate and maintain a complex executive calendar, scheduling meetings and prioritizing competing requests
- Coordinate domestic and international travel arrangements including accommodations and itinerary management
- Manage schedule, agenda, and minutes of recurring high-level executive meetings
- Act as a liaison between internal departments, clients, and other stakeholders while maintaining professional and effective communication
- Prepare and edit correspondence, reports, and presentations as needed
- Perform ad-hoc tasks and projects as assigned
- Work with a strong sense of urgency and prioritize tasks to meet deadlines effectively
- Handle sensitive information with the highest level of confidentiality and discretion
- This role supports executive leadership and may require availability outside of standard business hours
Required Skills and Experience - 3-5 years of related experience in a professional services environment
- Strong proficiency in Microsoft Office Suite
- Strong professional communication skills with the ability to interact with employees at all levels
- Ability to multitask, prioritize, and meet deadlines in a fast-paced environment
- Ability to work under pressure and adapt to changing priorities
- Flexible, dependable, and eager to learn, with strong problem-solving skills
The annualized salary range for this role is $68,000-$78,000. However, this is contingent upon level of experience, location, and other job-related factors permitted by law.
