Executive Assistant - PT (30 hours/week) - Mother's Hours! Location: St. Louis, MO (Clayton area) Reports to: Founder/Director Compensation: $30–$35/hour

We are seeking a highly organized, discreet, and proactive Executive Assistant to support our senior leadership team at our St. Louis headquarters. This is a dynamic, high-impact role offering exposure to executive decision-making, investor relations, and business operations.
Position Overview
The Executive Assistant will serve as a trusted partner to senior leadership, providing high-level administrative, operational, and personal support. This role requires exceptional attention to detail, sound judgment, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
Executive & Administrative Support
Provide direct support to senior management to advance key initiatives
Manage complex calendars, travel arrangements, and meeting coordination
Lead weekly team meetings and oversee logistics for events and annual conferences
Serve as the primary point of contact for office operations and vendor management
Maintain CRM (Navatar), including relationship tracking and activity updates
Coordinate board meeting logistics, including scheduling, communications, and setup
Manage corporate documentation, website updates, and general office duties
Provide personal assistant support to the Founder and family
Financial & Bookkeeping
Manage full-cycle bookkeeping using QuickBooks Online (AP/AR, reconciliations, financial reporting)
Oversee bank accounts, invoicing, bill pay, tax distributions, and wire transfers
Investor & HR Relations
Support investor communications, including distribution of K-1s and capital raise materials
Assist with document management and investor relations processes
Oversee payroll administration, candidate assessments, and background checks
Office & Technology Management
Coordinate office maintenance, vendor relationships, and IT support
Provide basic troubleshooting for office equipment (phones, printers, computers)
Maintain inventory of technology and office supplies
Qualifications
Proven experience with QuickBooks Online and bookkeeping processes
Proficiency in Microsoft Office and general office technology
High level of discretion, integrity, and professionalism
Strong organizational skills with exceptional attention to detail
Excellent communication and interpersonal skills
Ability to work independently and interact effectively with executives, investors, and team members
Strong work ethic and ability to manage competing priorities
