Our client is a boutique music merchandise company based in Los Angeles, working with some of the most impactful global touring artists in the alternative music space — think Coachella, Lollapalooza, Warped Tour, and beyond. Though they operate at a high level, they're a tight, independent team doing highly custom, highly creative work for artists on the rise and at the top. As touring volume continues to grow, they're expanding their operations team to keep pace.
Role Overview
We're looking for a sharp, proactive Executive Assistant to support the CEO at a fast-moving music merchandise company. You'll be the operational backbone for a busy founder — managing the day-to-day so they can stay focused on the big picture. If you have a genuine passion for music and entertainment and love being at the center of the action, this role is for you.
Responsibilities
Manage and maintain the CEO's calendar, including scheduling meetings, calls, and travel with a high degree of accuracy and discretion
Serve as the primary point of contact between the CEO and internal/external stakeholders, handling correspondence with professionalism and urgency
Track deadlines, deliverables, and action items across multiple ongoing projects and initiatives
Prepare meeting agendas, take notes, and follow up on action items to ensure accountability
Support event and production coordination tied to live entertainment, merchandise launches, or tours as needed
Manage expenses, process invoices, and assist with light budget tracking
Handle confidential information with the utmost discretion
Anticipate the CEO's needs and identify ways to create greater efficiency in their day-to-day
Qualifications
2–5 years of experience as an Executive Assistant, Personal Assistant, or Chief of Staff — ideally supporting a C-suite executive
Background in music, entertainment, or live events strongly preferred
Familiarity with the music merchandise or touring industry is a significant plus
Strong project management skills; able to juggle multiple priorities without dropping the ball
Exceptional written and verbal communication
Highly organized, detail-oriented, and able to work with minimal oversight
Comfortable in a fast-paced, entrepreneurial environment where priorities can shift quickly
Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Asana
